The Front Office Administrator serves as the first point of contact for visitors, vendors, and staff, ensuring smooth day-to-day office operations while providing administrative support across departments.

Requirements

  • 1+ years of experience as a Receptionist or Administrative Assistant required
  • High school diploma or equivalent
  • Exceptional organizational and time-management abilities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to handle sensitive and confidential information with discretion
  • High attention to detail and accuracy in all work
  • Must pass a post-offer pre-employment criminal background check

Responsibilities

  • Greet and direct visitors and vendors while managing the visitor log, visitor badges, and parking validation
  • Answer, screen, and route incoming calls; manage general email inquiries
  • Handle incoming and outgoing mail, packages, and deliveries
  • Manage coordination with vendors
  • Maintain, distribute, and organize employee badges and parking transponders
  • Maintain and organize digital filing systems
  • Order and track office supplies and inventory
  • Coordinate conference room bookings and setups
  • Help with company events set up and break down (All Hands, office lunches)
  • Liaise with building management and facilities team
  • Assist with onboarding new employees (badges, tours, parking transponders)
  • Champion overall office wellness by promoting a clean, organized, and comfortable work environment
  • Coordinate appreciation events and team-building activities
  • Monitor common areas (kitchen, lounges, reception) to ensure they remain stocked, tidy, and inviting
