About The Position

This role involves providing comprehensive support in the pre-litigation process, focusing on client communication, case file organization, document preparation, medical records coordination, task coordination, client advocacy, and administrative support. The ideal candidate will be fluent in both English and Vietnamese, with experience working with Chinese-speaking clients and proficiency in both Chinese and English for documentation and case management.

Requirements

  • Fluency in both spoken and written English and Vietnamese required.
  • Experience working with Chinese speaking clients, with demonstrated ability to communicate effectively in both languages.
  • Proficiency in reading, writing, and speaking Chinese and English; to assist with client interactions, documentation, and case file management.
  • Previous experience in an administrative or support role, preferably in a legal or client-focused setting.
  • Strong organizational and communication skills.
  • Detail-oriented with the ability to manage multiple tasks.
  • Proficiency in Microsoft Office and basic computer skills.

Responsibilities

  • Assist in communicating with clients to gather initial case information, update them on case status, and address inquiries.
  • Maintain a positive and client-focused approach in all interactions.
  • Aid in the organization and maintenance of pre-litigation case files, ensuring accuracy and completeness.
  • Assist in tracking and updating case information in the case management system.
  • Assist in the preparation of necessary documents for case evaluations, including summaries, timelines, and client communications.
  • Ensure that all documents are properly labeled, filed, and accessible for case managers.
  • Support in coordinating the retrieval of medical records and bills relevant to pre-litigation cases.
  • Liaise with medical providers to gather necessary documentation.
  • Assist in coordinating tasks related to the pre-litigation process, ensuring timelines are met.
  • Collaborate with legal professionals to facilitate case progression.
  • Uphold a client-focused approach, advocating for client needs and ensuring a positive client experience.
  • Address client inquiries and concerns, escalating complex issues to case managers.
  • Provide general administrative support, including data entry and electronic filing.
  • Assist in maintaining organized and up-to-date case files.
  • Aid in managing calendars and scheduling appointments for case managers.
  • Ensure efficient coordination of appointments and follow-ups.
