About The Position

This temporary position supports the FBI's Child Exploitation Notification Program by providing full-service administrative support to victim services providers (VSPs). The goal is to reduce the administrative burden on direct service providers, centralize data management, and ensure data accuracy within FBI systems and VSD databases. The analyst will develop expertise in FBI systems, VSD databases, and the Attorney General Guidelines for Victim and Witness Assistance to support FBI VSPs in the field and at headquarters. Requirements

  • Active Top Secret clearance (clearance sponsorship, processing, reinstatement, or upgrades are not provided).
  • Bachelor’s degree from an accredited University OR four (4) years of relevant experience in a professional environment performing similar administrative tasks.
  • Minimum of two (2) years of relevant experience in a professional environment.
  • Ability to work a schedule from 07:30 to 16:00, Monday through Friday (schedules may change based on client needs and range from 7:00 AM - 4:30 PM to 9:30 AM - 6:00 PM).
  • Ability to work onsite in Washington D.C.
  • Proficient in MS Word, MS Excel, and MS Outlook.
  • Experience in prioritization of projects.
  • Strong problem-solving skills.
  • Good research skills and attention to detail.
  • Ability to work effectively with others and possess good interpersonal skills.
  • Program and project management experience.
  • Ability to coordinate/facilitate/lead meetings & conference calls with internal and external customers.
  • Experience in creating and giving formal presentations.
  • Experience using Microsoft SharePoint and Microsoft Outlook.
  • Experience and proficiency utilizing, building, and updating Microsoft SharePoint Websites.
  • Ability to prepare and modify documents including correspondence, reports, drafts, memos and e-mails.
  • Manipulating data in Microsoft Excel 2008 or later version to include: Creating new spreadsheets, Entering data, auto fill features, adding and adjusting columns and rows, Sorting, Filtering and Freezing Panes, Moving and copying worksheets within a workbook, Separating data in one cell to multiple cells using Text – to – Columns, Grouping data together using the Concatenate function.
  • Working knowledge of basic excel formulas.

Responsibilities

  • Support FBI victim services providers with administrative duties, case management, and the Victim Notification System (VNS).
  • Provide administrative support to VSD VSPs and other headquarters VSD employees, including answering phones, preparing reports, tracking work, managing email, and maintaining schedules/calendars.
  • Develop, write, and update the VNS Standard Operating Procedure (SOP) document using the VSD SOP template.
  • Provide typing and word processing support, including spreadsheet applications, composing memos and correspondence, obtaining approvals, generating labels, and creating graphs/tables.
  • Handle confidential subject matter and complete standard office forms.
  • Open, review, prioritize, and act on incoming mail within three business days; send mail, faxes, and make copies.
  • Enter data, maintain information, manipulate and define reports for specific tracking purposes (statistics, project status).
  • May take the lead role in managing projects.
  • Generate reports, evaluate data, and make recommendations/summarize trends for supervisor review.
  • Serve as the primary point of contact for clients, communicating with tact and discretion.
  • Develop, set up, maintain, and retrieve organizational files and records (electronic or manual).
  • Stay informed about laws and regulations applicable to the staff function or field of expertise to maintain compliance.
  • Confer with appropriate internal and external offices to ensure required procedures are followed.
  • Analyze complex data, extract and define relevant information, interpret data for past performance, identify issues, provide solutions, and resolve problems.
  • Process information from the FBI’s Sentinel system and SharePoint Sites (classified and unclassified enclaves).
  • Serve as a liaison between coordinators, unit personnel, and management, communicating with tact and discretion.
  • Use various software applications (spreadsheets, databases, statistical packages, graphics packages) to assemble, manipulate, and format data/reports.
  • Apply management analysis principles, procedures, and techniques to enhance experience and knowledge for specific projects.
  • Establish effective liaison and operational contact with internal and external clients and oversight groups, ensuring project execution conforms to DOJ and FBI guidelines.
  • Assist in testing new or modified systems for functionality and business processes.
  • Assist in preparing recommendations for implementing new or modified systems, work procedures, or organizational changes.
  • Assist in developing selected portions of reports for managers.
  • Develop relationships with external and internal partners/clients, potentially requiring in-person meetings or site visits.
  • Provide system training as needed and develop a training SOP with the VNS-Coordinator.
  • Perform all outlined tasks proficiently, excluding quality assurance.
  • Provide mentorship and training to new victim notification analysts.
