About The Position

Chenega Enterprise Systems & Solutions, LLC is seeking a Temporary Victim Notification Administrative Analyst to support the FBI’s Child Exploitation Notification Program. This role will provide comprehensive administrative support to victim services providers (VSPs) within the Victim Services Division (VSD). The objective is to reduce the administrative burden on direct service providers, centralize data management and storage, and ensure data accuracy within FBI systems and VSD databases. The analyst will gain expertise in FBI systems, VSD databases, and the Attorney General Guidelines for Victim and Witness Assistance to support FBI VSPs in the field and at headquarters. Requirements

  • Active Top Secret clearance (clearance sponsorship, processing, reinstatement, or upgrades are not provided).
  • Bachelor’s degree from an accredited University OR four (4) years of relevant experience in a professional environment performing similar administrative tasks.
  • Minimum of two (2) years of relevant experience in a professional environment.
  • Ability to work a schedule from 0730 to 1600, Monday through Friday (schedules may change based on client needs, ranging from 7:00 AM - 4:30 PM to 9:30 AM - 6:00 PM).
  • Ability to work onsite in Washington D.C.
  • Ability to prepare and modify documents including correspondence, reports, drafts, memos, and e-mails.
  • Proficient in MS Word, MS Excel, and MS Outlook.
  • Experience manipulating data in Microsoft Excel 2008 or later version, including creating new spreadsheets, entering data, using auto-fill, adjusting columns/rows, sorting, filtering, freezing panes, moving/copying worksheets, using Text-to-Columns, and the Concatenate function.
  • Working knowledge of basic Excel formulas.

Responsibilities

  • Support FBI victim services providers with administrative duties related to case management and the Victim Notification System (VNS).
  • Provide administrative support to VSD VSPs and other headquarters VSD employees, including answering phones, preparing reports, tracking work, managing email, and maintaining schedules.
  • Develop, write, and update the VNS Standard Operating Procedure (SOP) document using the VSD SOP template.
  • Provide typing and word processing support, including composing memos and correspondence, and generating labels, graphs, and tables.
  • Handle confidential information and complete standard office forms.
  • Open, review, prioritize, and act on incoming mail within three business days; send mail, faxes, and make copies.
  • Enter data, maintain information, and generate reports for tracking purposes (statistics, project status).
  • May take a lead role in managing projects.
  • Generate reports, evaluate data, and make recommendations or summarize trends for supervisor review.
  • Serve as the primary point of contact for clients, communicating with tact and discretion.
  • Develop, set up, maintain, and retrieve organizational files and records (electronic or manual).
  • Stay informed about laws and regulations applicable to the staff function to maintain compliance.
  • Confer with internal and external offices to ensure adherence to required procedures.
  • Analyze complex data, extract relevant information, interpret data to determine past performance, identify issues, provide solutions, and resolve problems.
  • Process information from the FBI’s Sentinel system and SharePoint Sites (classified and unclassified).
  • Serve as a liaison between coordinators, unit personnel, and management, communicating with tact and discretion.
  • Use various software applications (spreadsheets, databases, statistical packages, graphics) to assemble, manipulate, and format data and reports.
  • Apply management analysis principles, procedures, and techniques to enhance experience and knowledge for specific projects.
  • Establish liaison and operational contact with internal and external clients and oversight groups to ensure project execution conforms to DOJ and FBI regulations.
  • Assist in testing new or modified systems for functionality and business processes.
  • Assist in preparing recommendations for implementing new or modified systems, work procedures, or organizational changes.
  • Assist in developing selected portions of reports for managers.
  • Develop relationships with external and internal partners/clients, potentially requiring in-person meetings or site visits.
  • Provide system training as needed and develop a training SOP with the VNS-Coordinator.
  • Perform all outlined tasks proficiently, excluding those related to quality assurance.
  • Provide mentorship and training to new victim notification analysts.
