About The Position

The Title Clerk is responsible for supporting accurate, timely, and compliant vehicle title processing for Sierra’s Phoenix and Tucson operations. This position assists with reviewing vehicle titles and supporting documentation, processing sold notices, maintaining accurate title records, mailing titles to buyers, and resolving title-related inquiries. This role helps ensure a smooth post-sale experience for customers and supports operational efficiency by maintaining attention to detail, meeting processing deadlines, and following applicable state requirements and internal procedures.

Requirements

  • High school diploma or GED preferred.
  • Two or more years of office experience preferred.
  • Vehicle title handling and processing experience strongly preferred.
  • Bilingual proficiency in English and Spanish required.
  • Strong time management and organizational skills.
  • Effective customer service, verbal communication, and written communication skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities and meet competing deadlines while maintaining accuracy and attention to detail.
  • Flexible and adaptable, with the ability to support changing priorities and execute initiatives effectively.

Responsibilities

  • Accurately enter title, vehicle, buyer, and transaction-related information into internal systems to support timely processing and recordkeeping.
  • Review vehicle titles and supporting documentation for completeness, accuracy, and compliance with applicable state requirements, including identifying errors, omissions, or alterations that may impact title processing.
  • Verify sale documentation and process sold notices in accordance with established procedures and required timelines.
  • Prepare and mail titles to the appropriate buyer and confirmed address, ensuring accuracy and proper tracking of title distribution.
  • Generate, review, and maintain title-related reports to monitor processing status, identify outstanding items, and support operational follow-up.
  • Support internal audits, title file reviews, and related administrative tasks to help ensure records are accurate, complete, and properly maintained.
  • Respond to customer and internal stakeholder inquiries regarding title status, documentation requirements, and title-related issues in a timely and professional manner.
  • Provide a positive post-sale customer experience by communicating clearly, resolving routine title questions, and escalating complex issues as appropriate.
  • Proactively identify and address title-related issues, coordinating with appropriate internal teams or external parties to support timely resolution.
