About The Position

Vida Shoes International is seeking an organized and proactive Sample Coordinator to manage product sample inventory. The coordinator oversees sample intake, tracking, and distribution while maintaining organization and supporting the sales and creative teams. The role also supports showroom preparation, confirmation processing and TOP approvals, collaboration across departments, and seasonal brand line sheets.

Requirements

• 1–3 years of experience in sample management, inventory management, or a fashion/creative production environment.
• Highly organized with exceptional attention to detail.
• Proficiency in Microsoft Office, including Excel.
• Strong interpersonal skills for communicating with vendors and internal departments.
• Bachelor’s degree.

Responsibilities

• Receive, unpack, catalog, and track incoming product samples, maintaining an up-to-date logbook or inventory system.
• Prepare, organize, and maintain the showroom for buyer appointments, sales meetings, and marketing photo shoots.
• Process confirmations and manage TOP approvals.
• Work with sales, marketing, and design teams to ensure they have samples needed for production, marketing, and sales meetings.
• Create and manage seasonal brand line sheets.
