About The Position

The Sales Order Processing Specialist reviews and processes sales orders submitted by the sales team, identifies missing information and errors, and coordinates corrections with sales representatives. The role processes orders in Acumatica ERP and handles payment status follow-up, shipment scheduling, delivery coordination, and customer and sales-team updates. It requires accuracy and organization while managing a steady flow of orders, payment questions, shipping changes, and unfinished items as priorities shift.

The position is based on-site at Chemtek’s downtown Durham office at the American Tobacco Campus. It is full-time, scheduled 7:30 AM to 4 PM, Monday through Friday. The specialist works with sales representatives, customers, and the logistics team.

Requirements

• One to three years of experience in order processing, sales support, or customer service.
• Accuracy with numbers, order details, and records.
• Ability to handle multiple orders and changing priorities without losing track of outstanding work.
• Clear, professional phone and email communication.
• Comfort using business software and keeping electronic records organized.
• Good judgment about when to ask questions, resolve an issue, or bring a problem to someone’s attention.

Nice To Haves

• Experience with Salesforce.
• Experience with Acumatica.

Responsibilities

• Check sales orders for correct products, quantities, pricing, customer information, and shipping instructions.
• Work with sales representatives to correct errors and obtain missing information before processing orders.
• Process and update orders in Acumatica ERP.
• Check payment status and follow up with customers when credit card payments are declined.
• Coordinate shipment scheduling and delivery arrangements with the logistics team.
• Track shipments and inform customers and sales representatives about delivery status, delays, and changes.
• Maintain accurate order, payment, and shipping records, including notes on changes and unresolved questions.
• Follow up on open items so orders continue moving.
