About The Position

Cleveland Brothers Equipment Co., Inc., the exclusive Cat® dealer for western and central Pennsylvania, northern West Virginia, and western Maryland, is seeking a motivated self-starter to join its rental team. The Rental Coordinator handles incoming rental and sales calls, determines customer equipment needs and availability, and helps customers understand equipment specifications, safety concerns, and proper use. The position also supports rental contracting, payment processing, fleet readiness, transportation coordination, insurance verification, and effective utilization of rental inventory across the company.

Requirements

Be organized and detail-oriented, with the ability to handle and prioritize multiple tasks and meet deadlines.
Knowledge of equipment product lines.
Good problem-solving and communication skills.
Flexibility, cooperation, and teamwork across departments and locations.
Knowledge of current company policies and procedures.
Basic keyboard and computer skills.
Proficiency with Lotus Notes and DBSI.
Ability to work overtime and travel when required.

Responsibilities

Answer incoming rental and sales-related calls and maintain a call log.
Qualify customer needs against rental equipment availability.
Educate customers about equipment specifications, safety concerns, and proper equipment use.
Initiate and maintain rental contracts accurately and promptly.
Obtain the information required for the credit department to approve payment terms.
Process CAT Access and credit card payments.
Coordinate with service departments at all locations to ensure rental fleet readiness.
Communicate with the transportation department about rental deliveries and call-offs.
Obtain proof of required insurance from customers' insurance companies.
Work with other Rental Coordinators and Salesmen to maximize rental inventory utilization throughout the company.
Perform other duties as assigned by the Supervisor.
