Recruiting Operations Specialist

Baseten•San Francisco, CA
•$80,000 - $110,000•Hybrid

About The Position

Baseten is hiring a Recruiting Operations Specialist to support the recruiting team as the company grows. The role manages day-to-day requests from recruiters and hiring partners across recruiting systems, reporting, and AI tools, including triaging requests, resolving or routing them, and closing the loop with requesters. As familiarity with the systems grows, the Specialist will take on projects that reduce recurring requests and improve recruiting operations. The position reports to the Recruiting Operations Lead and works alongside another Specialist, a Recruiting Operations Program Manager, and an Analyst, supporting their work with data, setup, and rollouts. The role is based in the San Francisco office Tuesday through Thursday. Baseten describes itself as a provider of inference infrastructure and developer tooling for AI companies, and says it recently raised a $1.5B Series F.

Requirements

  • At least 1 year of experience in recruiting coordination or recruiting operations, ideally at a fast-growing company.
  • Hands-on experience administering or configuring an applicant tracking system, rather than only using one.
  • Ability to turn a hiring need into a working ATS setup, including a job, stages, interview plan, and forms, with little direction.
  • Experience pulling and sharing recruiting data, such as building simple reports or maintaining recurring reports.
  • Experience building something with AI, such as a prompt workflow, custom GPT or Claude Project, or small automation.
  • Strong triage judgment, including deciding what is urgent, what can wait, and when to escalate.
  • Highly organized and detail-oriented, with the ability to manage a high volume of small requests without losing track of them.
  • Comfort with spreadsheets and basic data work, including filters, pivot tables, and checking for inconsistent numbers.
  • Clear, friendly written communication, especially in Slack and documentation.
  • Ability to work from the San Francisco office Tuesday through Thursday.

Nice To Haves

  • Experience training others on tools or processes.
  • Experience in technical or AI/ML recruiting.
  • Experience with Ashby; Greenhouse, Lever, or Workday experience is also relevant.

Responsibilities

  • Own intake for questions and requests from recruiters, coordinators, and hiring managers; triage, resolve or route them, and close the loop with requesters.
  • Set up and update the applicant tracking system, including opening jobs, building interview plans, and maintaining interviewer assignments and pools.
  • Manage system access, permissions, and tool licenses for recruiting team members, interviewers, and hiring managers.
  • Maintain clean and reliable recruiting data by loading candidate information, merging duplicates, correcting candidate sources, archiving stale records, and flagging suspicious applications.
  • Keep open ATS roles aligned with the company headcount plan and flag mismatches.
  • Provide recruiting data to recruiters and leadership, including pass-through rates, interviewer load, and time-to-hire; maintain recurring reports.
  • Build and maintain workflows, automations, and AI-powered tools that reduce manual work, and help the team use them effectively.
  • Write and maintain how-to guides, short video walkthroughs, onboarding materials, and announcements about changes to recruiting processes or tools.
  • Identify patterns in incoming requests and create lasting fixes such as guides, templates, or tools.
  • Support larger recruiting programs by preparing data, testing tools, and handling rollout tasks; own smaller recruiting operations projects end to end.

Benefits

  • Competitive compensation, including meaningful equity.
  • For U.S. employees: 100% coverage of medical, dental, and vision insurance for employees and dependents.
  • Flexible PTO policy, including a company-wide Winter Break when offices are closed from Christmas Eve to New Year's Day.
