Recruiting Coordinator

Ambrook•New York, NY
•$72,000 - $135,000

About The Position

Ambrook is hiring its first Recruiting Coordinator to own interview logistics and candidate experience across every open role. The role works directly with and reports to Cody, Ambrook’s founding recruiter. The coordinator will help create a consistent, warm, and efficient hiring process so candidates have a strong experience and hiring managers can focus on their most valuable contributions. The recruiting team uses AI tools to make its work more efficient while preserving human conversations. Existing workflows include pipeline digests, Ashby hygiene checks, and interview briefings built with Claude and the Ashby MCP. The coordinator will improve these workflows and develop new ones. Longer-term career paths may include recruiting operations, sourcing, or full-cycle recruiting. The role includes scheduling interviews across active pipelines, managing candidate communications, maintaining Ashby, supporting interviewer panels, reporting on scheduling and pipeline health, and improving recurring processes through templates, playbooks, and automation. Within the first 90 days, the coordinator is expected to take over coordination, identify and ship process improvements, establish useful weekly reporting, launch a candidate experience survey, and build and share at least one AI workflow that reduces recurring work.

Requirements

  • 1 to 4 years of experience coordinating interviews.
  • Ability to manage multiple active requisitions and changing interview panels, ideally in a fast-growing startup with substantial hiring volume.
  • Strong organization and attention to detail, including maintaining an organized ATS and preparing context for every interview.
  • Respond to every request within 24 hours, either scheduling it or flagging it.
  • Discretion when handling candidate details, compensation, and feedback.
  • Ability to remain calm and make decisions when schedules change, and to bring the founding recruiter a plan rather than only a problem.
  • Ability to automate part of a coordination workflow and explain what the automation enabled.
  • Strong communication and relationship-building skills with candidates and hiring managers.

  • Maintain Ashby, including keeping stages current, updating interview plans and templates, and ensuring interviewer feedback is submitted before debriefs.
  • Keep interviewer panels trained and balanced, including arranging shadow pairings for new interviewers, backups for interview slots, and a system for distributing interview load.
  • Prepare weekly reporting on scheduling and pipeline health, including scheduling speed, interviewer workloads, and candidate bottlenecks.
  • Improve recurring coordination work by creating templates, playbooks, or automations.
  • Take over coordination across active requisitions and relieve the founding recruiter and hiring managers of coordination work.
  • Map manual coordination tasks and identify opportunities to automate them.
  • Launch a candidate experience survey and make at least one visible change based on its results.
