About The Position

Under supervision of the Quality Assurance Manager, the Quality Assurance Coordinator will assist in conducting internal audits of client medical records as outlined by the requirements set by Medi-Cal and Santa Barbara County BWell, perform chart audits, maintain and track audit data, serve as Smart Care electronic health record super user, and attend all Medi-Cal documentation and performance improvement related meetings and targeted trainings at SBBWELL and disseminate relevant information to TMHA staff, as needed, with a trauma informed approach. This position assists QA Manager in efforts to reduce disallowances and settlements from funding sources due to improper or inadequate charting and billing. This position is also responsible for assisting in completing compliance tasks including maintaining Incident Report records, logs and assessments; maintaining Grievance reports, logs and assessments; maintaining the Patients’ Rights Consumer Information Centers (information boards).

Requirements

  • Bachelor’s Degree in Social Work, Psychology or related Mental Health field.
  • Strong presentation skills. Ability to plan, organize, and supervise comprehensive computerized accounting and payroll systems.
  • Strong interpersonal skills, collaborative work style and strong oral/written and communication skills.
  • Well defined organizational and time management skills.
  • Ability to work independently and flexibly.
  • Ability to handle intense situations, display good judgment and decision-making skills, and remain calm and clearheaded under pressure.

  • Must be at least 18 years of age; possess a valid CA Driver’s License, at least 2 years driving experience and DMV driving record that meets TMHA’s current vehicle insurance requirements. May be required to utilize reliable personal vehicle and auto insurance.
  • Must comply with a TB assessment (possibly a TB test if needed to confirm a negative tuberculosis result) and receipt of a criminal record clearance through fingerprinting.
  • Must be able to successfully complete First Aid and CPR training.

Responsibilities

  • Serve as the go-to support for the following Santa Barbara County Programs – Santa Maria ACT, Lompoc FSP 2, Wellness Centers and the Santa Maria Farm.
  • Possess a good knowledge base of Medi-Cal charting and billing requirements as described in the Medi-Cal documentation guidelines.
  • Attend Santa Barbara County Dept of Behavioral Wellness meetings as necessary to maintain knowledge and disseminate updated information to internal TMHA staff.
  • Support agency electronic health record users for Smart Care and serve as the agency super user for both systems.
  • Assist in tracking incident reports, compliance audits, risk assessments, and audit results.
  • Regularly review documentation written by TMHA staff and provide feedback and training.
  • Conduct internal audits of client records and any other relevant documents by following the requirements and guidelines set forth by the state and county.
  • Maintain audit tracking records, monitor and track areas for follow up and correction by program staff.
  • Promote, encourage and maintain trauma-informed practices in all services and activities.
  • Practices and promotes, both individually and in team meetings, the Collaborative Communication Guidelines
  • Assist in site re-certifications and Patient’s Rights Materials and HIPAA related issues.
  • Work with Quality Assurance Manager to assist with -Medi-Cal site recertification every three years or as needed.
  • All other duties as assigned by Quality Assurance Manager
