About The Position

DreamYard collaborates with young people, families, schools, and communities in the Bronx to build pathways to equity and opportunity through arts and social justice programs. DreamYard’s In School and Art Center programs help thousands of K-12th grade Bronx young people each year pursue educational pathways towards higher learning and meaningful careers; it is our expectation that our youth will develop the tools to become engaged citizens, life-long learners, and the leaders and innovators of the 21st century. Co-Executive directors Jason Duchin and Tim Lord founded DreamYard in 1994. Over the past two decades, DreamYard has worked with more than 100 public schools and over 200,000 young people and families. DreamYard has developed a robust educational community in the Bronx – from its in-school partnerships and launch of the DreamYard Preparatory High School to its Out of School Programs at the DreamYard Art Center in the Morrisania neighborhood of the Bronx, the development of the Bx Start Gaming and Entrepreneurship Center in the north Bronx and the launch of our Creative Career Pathways work-based learning internship programs in 2018. DreamYard is focused entirely in the Bronx, a borough that possesses incredible cultural, human, and economic assets. The People and Culture Coordinator will partner with the Director of People and Culture and the People and Culture Manager to ensure that all DreamYard staff is supported while the organization remains compliant. This role’s responsibilities as it relates to the People and Culture team will include but not be limited to maintaining employee records, running reports, coordinating recruiting, and maintaining People and Culture files and project management tools and documents that coordinate workflow. This position is ideal for a highly confidential, organized, problem solver who is a detail-oriented individual able to handle competing -- and shifting -- daily priorities. This person is also deeply passionate about the DreamYard mission and is excited to bring their talents to a fast-paced, collaborative, and strategic growth-focused environment. The People and Culture Coordinator is a full-time, hybrid position that reports to the Director of People and Culture.

Requirements

  • 1 year of administrative assistant experience
  • A commitment to confidentiality. Due to the sensitive information that the People and Culture Team holds, confidentiality is key. A successful candidate will have the ability to exercise absolute discretion.
  • Top-notch organization skills. If the books on your bookshelf are in alphabetical order, your notes utilize colors with specific meanings, and you find long to-do lists energizing, we want to talk to you! There’s a lot to keep track of in this role, and nothing can fall through the cracks. Meeting deadlines is key.
  • Commitment to the DreamYard mission.
  • Strong relationship-building skills. The People and Culture team works across the entire organization and will need to build relationships to move various work forward.
  • Exceptional problem-solving skills. A successful candidate will enjoy thinking on their feet and will know how to apply sound judgment and rationale to any situation. They will be a proactive team player and take initiative.
  • Ability to strategically prioritize. Among competing priorities and multi-task across a broad spectrum of collaborators, the successful candidate will know how to prioritize and reprioritize to keep the work flowing seamlessly
  • Effective communication skills. The ability to clearly communicate with staff at all levels in the organization is paramount; especially in fast-paced moments, a successful candidate is clear and asks for clarity in return.
  • A sense of ownership. A successful candidate will be responsive but also proactive. Importantly, you’re able to work calmly and intentionally under pressure.
  • Strong writing and verbal skills. The ability to communicate information clearly is fundamental to this role. You will be asked to copy-edit documents with a variety of internal and external stakeholders in mind.
  • A successful candidate will have an entrepreneurial spirit, adaptability, and a positive attitude.

Responsibilities

  • Support overall People and Culture workflow
  • Own the management of the People and Culture task management tracking system(s)
  • Create and maintain a calendar of various People and Culture events
  • Manage logistics of all People and Culture-hosted events including retreats, orientations, interviews, and team meetings
  • Maintain the physical and digital employee files and records, request missing information as needed, in accordance with best practices and requirements
  • Keep track of and maintain files on all compliance documentation ie. PETS clearance, harassment prevention training, etc.
  • Provide background research for People and Culture related projects as needed
  • Pulling reports as needed
  • Maintain files and templates for performance reviews, job descriptions, mediations, terminations, and on and off-boarding meetings. Track participation and maintain files on all performance evaluations, Goals, etc.
  • Assist in maintaining the Applicant Tracking System (ATS) and hiring process as needed
  • Track staff birthdays, anniversaries, and new hires for monthly reports & recognition programs
  • Manage gift/ecard distribution for recognition programs
  • Copyedit People and Culture documents as needed
  • Any other duties as assigned by management
