Payment Request Operations Associate

Snout•Texas, TX
•$40,000 - $45,000•Remote

About The Position

Snout is seeking an experienced, remote Payment Request Operations Associate based in Texas or Georgia. The role reviews veterinary clinic payment requests by comparing invoices with each pet’s wellness plan, matching charges to benefits, applying caps and remaining quantities, and determining what Snout pays the clinic and what the client owes. The associate checks requests for accuracy and identifies issues before payment is made, such as invoices outside the plan term or charges over benefit caps. The work supports accurate clinic payments and helps pet owners receive the savings provided by their plans. The role involves processing a busy queue, communicating with clinics, documenting decisions, and coordinating with Clinic Success to reduce recurring errors. Quarterly travel flexibility is expected.

Requirements

  • At least 1 year of experience in claims processing, medical or veterinary billing, accounts payable, or another role reviewing invoices for accuracy.
  • High attention to detail and strong numerical accuracy, including checking totals, catching discrepancies, and explaining calculations.
  • Comfort working with spreadsheets and back-office systems, including filtering, lookups, and reconciling mismatched sources.
  • Clear, friendly phone and written communication with clinic staff, including when communicating an unfavorable decision.
  • Good judgment about whether a request is ready for payment or requires clarification first.
  • Steady, independent work habits and ability to keep a queue moving while working remotely.
  • Based in Texas or Georgia.
  • Flexibility to travel quarterly and live near an airport.

Nice To Haves

  • Veterinary clinic experience in front desk, practice management, or billing, or familiarity with practice management systems such as ezyVet, Cornerstone, or AVImark.
  • Experience with pet wellness plans, pet insurance claims, or health insurance claims adjudication.
  • Experience at a startup or growing team, including helping develop processes while carrying them out.

Responsibilities

  • Process a daily queue of clinic payment requests, matching invoice lines to plan benefits, remaining quantities, and cap prices.
  • Check plan terms against invoice dates, pet and species information, benefits already used, taxes, and amounts already paid by the client at the clinic.
  • Investigate and flag exceptions, including charges over caps, invoices outside plan terms, exhausted benefits, unclear line descriptions, and $0 inventory lines.
  • Call and email clinics to clarify invoices, explain coverage decisions, and communicate when and why a request cannot be processed.
  • Allocate limited benefits to provide the coverage allowed by the pet’s plan and leave clear notes explaining decisions.
  • Track recurring errors by clinic and charge type and share them with Clinic Success.

Benefits

  • Day 1 medical, dental, and vision benefits.
  • Flexible time off.
  • 11 Snout calendar holidays.
  • Paid parental leave.
  • Opportunity for career growth, learning, and skill development.
