About The Position

The Patient Service Specialist provides daily front-office support, ensuring smooth patient flow, accurate registration, and exceptional customer service. This role is essential in creating a welcoming environment, supporting clinical teams, and maintaining accurate patient information in a fast-paced medical practice. Occupational Health offers services such as DOT physicals, drug and alcohol testing, audiograms, spirometry testing, travel medicine, vaccination programs, and OSHA surveillance programs. This variety can make each day interesting and provide opportunities to learn about many aspects of healthcare. Guthrie Occupational Medicine works with businesses to help employees achieve optimal health and well-being by preventing, diagnosing, and treating work-related injuries and illnesses. As a PSS, you play an important role in helping workers access these services efficiently. The Patient Service Specialist provides direct, daily operational front office support in a manner consistent with Guthrie Medical Group’s Service Excellence Standards. The Patient Service Specialist will continually demonstrate Patient Centeredness, Teamwork, and Excellence in the daily performance of their duties. This position requires the ability to be self‐motivated, flexible, punctual, detail oriented, have good time management skills and have excellent communication skills.

Requirements

High School diploma/GED required.
Must be comfortable with computers and learning new applications.

Nice To Haves

Graduation from a Medical Office Assistant school preferred.
Demonstrated customer service commitment in a fast-paced environment with a minimum of 1 year experience in a customer service related field preferred.
Medical office experience and knowledge of medical terminology preferred.

Responsibilities

Greeting every patient in a courteous, professional, and timely manner.
Answering telephones in a friendly and efficient manner, screening calls, taking messages, and providing information.
Scheduling and maintaining all patient appointments electronically, verifying patient information, and assigning B# / MRN to new patients.
Editing appointment schedules as directed by practice management.
Registering patients, reviewing, verifying, and correcting patient demographic and insurance information, and scanning current insurance cards.
Verifying eligibility for major insurance carriers and completing various insurance forms, pre-certifications, and referrals.
Informing, quoting, and collecting copayments, insurance deductibles, deposits, or unpaid balances at the time of registration.
Performing daily cash-out and balancing in accordance with the Patient Cash Control Policy.
Acting as a liaison between patients, physicians, hospital staff, and organizational departments, keeping departments informed and patients updated on any delays.
Adhering to departmental and organizational policies and attending meetings/huddles as required.
Prioritizing daily tasks simultaneously in a fast-paced, ever-changing work environment within a strong team structure.
Maintaining strict confidentiality of patient health information in accordance with HIPAA compliance.
Assisting with and completing other projects or duties as assigned, including participating in quality initiatives.
