The Patient Coordinator is the first point of contact for patients and is responsible for creating a welcoming, organized front-desk experience. This is an in-person role requiring reliable, predictable, on-time attendance for the full scheduled shift. The coordinator manages a full schedule, helps patients understand insurance benefits and costs, supports their decisions about care, and ensures they leave with their next appointment booked. The role involves patient check-in and check-out, phone and appointment management, insurance verification, treatment-plan and fee discussions, payment collection, accurate recordkeeping, and coordination with the clinical team. The Patient Coordinator must protect patient privacy and follow HIPAA requirements while remaining calm, attentive, friendly, and professional in a busy office. Physical requirements include sitting or standing at a front desk workstation for extended periods; using a computer, keyboard, and multi-line phone throughout the shift; speaking and hearing clearly; seeing close-range materials; moving between the front desk, lobby, and operatories; and lifting and carrying office supplies up to 15 pounds. Professional appearance and personal hygiene standards appropriate for close patient contact are required. The hiring process includes a short video interview completed independently, followed by an in-office interview and working interview. Prior employers are contacted for references, including questions about attendance, dependability, and teamwork. Candidates should be ready to provide at least two supervisor references. Offers are contingent on satisfactory reference and background checks. New team members complete a 90-day introductory period.
