About The Position

The Office Specialist II - AP&P position involves providing a variety of clerical support duties and assisting the public. This role requires strong customer service skills, data entry and retrieval from agency databases, reviewing data for accuracy, providing information to authorized agencies and the public, maintaining confidentiality, preparing documents, verifying conditions of probation and parole, managing investigation files, ordering reports and files, assisting with specific registries and uploading files, and performing front desk duties as assigned.

Requirements

  • At least 1-year of experience working in a professional office environment.
  • Strong verbal and written communication skills.
  • Ability to manage own time.
  • Ability to handle numerous interruptions and changing deadlines while remaining on track to complete tasks.
  • Highly organized self-starter, with the ability to prioritize and complete multiple tasks and deadlines for numerous people.
  • Works independently with little or no supervision.
  • Exceptional communication and interpersonal skills.
  • Proficiency in computer programs.
  • Hands-on experience with office equipment.
  • Professional attitude and appearance.
  • Ability to maintain confidentiality.
  • Ability to be resourceful and proactive when issues arise.

Responsibilities

  • Assist and greet the public using customer skills.
  • Perform a variety of clerical support duties.
  • Enter and retrieve data from agency databases (Court X-change, O-Track, UDOCA).
  • Review data, records, and files for detail and accuracy.
  • Provide authorized agencies with information.
  • Provide basic and accurate information in-person and via email.
  • Maintain a high level of confidentiality and discretion.
  • Run rap sheets.
  • Prepare and generate Probation and Parole documents.
  • Verify conditions of probation and parole.
  • Open, maintain, and update investigation files and other records.
  • Order County Attorney and Police reports.
  • Order files from Archives.
  • Assist with SONAR / CAOR Registry.
  • Upload files into UDOCA.
  • Assist with front desk duties as assigned.
  • Perform other duties as assigned.
