About The Position

Gridmatic is opening a new self-managed office in Houston and is hiring an Office Manager to own its day-to-day operations for a growing team of 20 employees. This hands-on role manages the physical office, facilities, vendors, systems, and budget, while also supporting HR coordination, onboarding, recruiting logistics, and employee experience. The role is primarily focused on office and facilities operations (approximately 60%), with HR coordination (30%) and employee experience (10%). The Office Manager will help establish standards and shape the Houston office as it grows, working closely with the Facilities team in Cupertino, California, and the central People/HR team.

Requirements

  • Based in or able to reliably commute to the Houston office five days a week.
  • Experience directly managing vendors and/or a facilities budget, rather than only working within a serviced office.
  • Strong organization and follow-through, with the ability to keep multiple tasks moving without dropping them.
  • Excellent interpersonal skills and sound judgment about when to handle matters, escalate them, or maintain confidentiality.
  • Comfort with standard workplace tools such as Google Workspace or similar, as well as basic HR or ticketing systems.

Nice To Haves

  • Experience opening, moving, or setting up a new office space.
  • Exposure to HR coordination, onboarding, or people operations.
  • Familiarity with health and safety, building compliance, or vendor contracting.
  • Interest in energy, power markets, or a fast-moving technical environment.

Responsibilities

  • Own daily Houston office operations, including reception, mail and couriers, supplies, kitchen, and general upkeep.
  • Manage building access, badges, and security systems, and serve as the point of contact for building management.
  • Maintain office safety and compliance, including fire safety, first aid, emergency procedures, and basic health and safety.
  • Triage and resolve facilities issues, escalating significant matters as needed.
  • Partner with the Cupertino Facilities team to align processes and maintain consistent standards across offices.
  • Manage office vendors for cleaning, utilities, waste, catering and snacks, plants, HVAC, and maintenance.
  • Source and negotiate with vendors and hold them accountable to contracts and service levels.
  • Own the office budget, track spending, flag variances, and identify reasonable cost savings.
  • Coordinate onboarding, including equipment, accounts, desk setup, and a welcoming first day and first week.
  • Coordinate HR administration, including offer paperwork, records, benefits enrollment support, and responses to everyday employee questions.
  • Partner with the central People/HR team on policies, compliance, and Houston-specific employee questions.
  • Support recruiting logistics by scheduling interviews and hosting on-site candidates.
  • Plan office events, team lunches, and celebrations.
  • Own the in-office experience and help shape the Houston office culture as the team grows.
