About The Position

The Medical Office Scheduler is responsible for providing excellent customer service by promptly scheduling patients with the appropriate physician while maintaining a positive demeanor. This role involves accurately obtaining all required demographics and insurance information from the patient, utilizing templates, scheduling assistant, protocol, and physician rotation to schedule patient appointments. The scheduler will process incoming referrals, contact patients to verify information and schedule appointments, import referrals and/or records into patient charts, send correspondence to referring providers, and send new patient paperwork to patients in a timely and accurate manner. Maintaining strict patient confidentiality is essential, and the job holder must demonstrate current competencies for the position, including a general understanding of insurance requirements.

Requirements

  • High school diploma or GED.
  • Knowledge of insurance rules and regulations, medical terminology, and computer scheduling systems.
  • Ability to communicate effectively with physicians, patients, and the public and be capable of establishing good working relationships with both internal and external customers.
  • Ability to type a minimum of 40 WPM.
  • Knowledge of basic computer applications.
  • Knowledge of medical terminology, insurance companies and plans.
  • Knowledge of scheduling templates.
  • Must be able to answer a high volume of telephone calls and utilize a multi-line telephone system.
  • Basic computer knowledge and skills in operating a computer.
  • Skill in demonstrating empathy and excellent customer service skills to maintain high patient satisfaction.
  • Maintaining patient confidentiality.
  • Organized team player with the ability to communicate effectively and efficiently.
  • Ability to maintain patient confidentiality.
  • Ability to communicate with upset and frustrated patients while consistently providing excellent customer service.
  • Demonstrate empathy, concern, good listening skills, and compassion for all patients.

  • Knowledge of one or more of the following specialties: Orthopaedics, Neurology, Physical Therapy, or Pain Management.
