About The Position

Assists in the examination and treatment of patients under the direction of healthcare providers. This role serves patients by greeting and helping them, scheduling appointments, maintaining records and accounts, checking patients in and out, and collecting payments and verifying insurance as needed. The position is PRN, meaning days and hours per week will vary, with typical clinic hours being Monday-Friday 8 am-5 pm. The Medical Administrative Assistant must be able to travel between Pell City, Moody, Trussville, Springville, and Pinson.

Requirements

  • Clinical Medical Assistant or Certified Medical Assistant active certificate; OR equivalent from two-year college or technical school; OR six months to one-year related experience and/or training.
  • Must be coachable and work within a team environment, helping peers as needed.
  • Must have a positive attitude and embrace the "we are all one team" acumen.
  • Knowledge of Word Processing software; Internet software, EMR systems (Athena preferred), and Database software.
  • Must be able to read and write legibly.
  • Must be able to follow written and verbal instructions.
  • The ability to travel to nearby clinics as needed.
  • This position requires the ability to stand and walk for extended periods.
  • It involves a full range of body motion, including handling and lifting patients and equipment.
  • Must be able to lift and carry items weighing up to 30 pounds and assist in moving patients weighing up to 300 pounds.
  • Regular exposure to bodily fluids and demands of adherence to strict safety and hygiene protocols.

Nice To Haves

  • Experience as a front desk medical receptionist preferred.
  • Computer proficiency is required and software such as EMR (Athena and Epic), Word, Excel, and other programs are strongly preferred.
  • Must be a caring and compassionate person able to put patients at ease using excellent communication skills.

Responsibilities

  • Interviews patients, accurately takes vital signs (manual BP, pulse rate, temperature, O2 level, weight, and height), and properly records information into EMR.
  • Prepares and stocks exam rooms for patient examinations.
  • Hands instruments and materials to the provider as directed for procedures.
  • Cleans and sterilizes instruments.
  • Performs EKGs, urinalysis, strep tests, flu tests, COVID tests, mono tests, pregnancy tests, and checks patients' A1C.
  • Gives injections (intramuscular, intradermal, subcutaneous) per provider's orders.
  • Handles patient portal messages, refills medications, orders additional labs or imaging, completes prior authorizations, and completes precertification for imaging.
  • Communicates effectively with patients and/or their families as directed by the provider.
  • Calls patients to discuss results as directed by the provider, maintaining patient confidentiality.
  • Enters data into EMR to maintain office and patient records.
  • May be required to perform duties outside of normal responsibilities as needed or directed by supervision, such as assisting with patient check-in.
  • Welcomes patients and visitors by greeting them in person or by telephone, and answering or referring inquiries.
  • Optimizes patient satisfaction, provider time, and treatment room utilization by scheduling appointments.
  • Keeps patient appointments on schedule by notifying the provider of patient arrival, reviewing service delivery compared to schedule, and reminding the provider of service delays.
  • Comforts patients by anticipating anxieties, answering questions, and maintaining the reception area.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Obtains revenue by recording and updating financial information, recording and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third-party claims.
  • Maintains business office inventory and equipment by checking stock, anticipating needed supplies, placing and expediting orders, verifying receipt of supplies, and scheduling equipment service and repairs.
  • Helps patients in distress by responding to emergencies.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Maintains operations by following policies and procedures and reporting needed changes.
  • Contributes to team effort by accomplishing related results as needed.
  • Assists patients with mobility and transport needs within the clinical setting, including helping patients in and out of wheelchairs or exam tables, escorting or transporting patients to various areas, and ensuring their comfort and safety.
  • Monitors patients during transport for signs of distress, maintains the cleanliness of transport equipment, and provides emotional support when necessary.
