About The Position

This role is part of the IT procurement team at Postman, with a strong focus on SaaS and software. The specialist will help manage the asset management program, negotiate and structure contracts, build vendor relationships, support the application lifecycle from onboarding to renewal, and ensure that all paid licenses and devices are actively used. This is a strategic position where the individual will partner with Finance and IT leadership to provide insights into software spending, identify cost-saving opportunities, and collaborate with IT Engineering, Security, and Finance to transform vendor and asset data into actionable decisions. As Postman grows, this team will be crucial for the company's technology acquisition, renewal, and governance processes.

Requirements

  • 3-5 years of hands-on IT procurement and sourcing experience, with direct ownership of SaaS, software, and hardware contracts.
  • Proven track record negotiating SaaS contracts and renewals (pricing, terms, true-ups, enterprise agreements) with a clear understanding of leverage points.
  • Strong understanding of software licensing models (per-seat, concurrent, consumption-based, enterprise agreements) and how true-ups work.
  • Familiarity with typical SLAs and KPIs across IT vendor categories.
  • Experience managing the app/vendor lifecycle end-to-end: intake, security review, contracting, renewal, and sunset.
  • Solid analytical skills, comfortable pulling utilization and spend data, building reports, and making data-driven recommendations.
  • Working knowledge of IT asset management (hardware and software) and supporting platforms (e.g., ServiceNow ITAM, Oomnitza, Snipe-IT).
  • Clear communicator capable of working effectively across IT, Finance, Security, and Procurement.
  • Customer-service mindset, high energy, and a sense of urgency.

Nice To Haves

  • Experience with SaaS management platforms for license discovery and optimization.
  • Familiarity with Jamf, Apple Business Manager, or similar tooling for Apple-heavy fleets.
  • Experience supporting SOC 2 or similar compliance frameworks from a vendor and asset management perspective.
  • Exposure to office collaboration infrastructure (video conferencing architecture, AV setup) for vendor and equipment decisions.

Responsibilities

  • Own the end-to-end procurement process for SaaS, software, hardware, and IT services, including sourcing, business case development, comparative vendor analysis, negotiation, approvals, and contracting.
  • Lead commercial negotiations on SaaS contracts and renewals, covering pricing, terms, true-ups, tier changes, multi-year structures, and exit clauses.
  • Build and maintain the portfolio of IT vendors, originating new relationships, managing existing ones, and holding vendors accountable to SLAs and KPIs.
  • Manage the application lifecycle, including onboarding new tools, reviewing them at renewal, and driving sunset or consolidation.
  • Partner with IT team leads and Finance to build the IT budget, track spend, flag anomalies, and communicate changes.
  • Collaborate with Security to conduct vendor security reviews for all new tool onboarding and renewals.
  • Maintain organized records of contracts, renewal dates, and purchases, surfacing renewals 60-90 days in advance.
  • Generate data-backed business cases for decisions like lease vs. buy and consolidation, presenting them to leadership.
  • Maintain the IT asset inventory for hardware and software, serving as the source of truth for procurement decisions.
  • Track software license utilization, identify underused or redundant subscriptions, and use this data in renewal negotiations.
  • Oversee the hardware lifecycle, including procurement intake, provisioning, refresh cycles, and secure decommissioning/disposal.
  • Ensure audit readiness by being able to provide information on license counts, usage, and compliance.
  • Partner with IT Engineering to enhance asset management tooling and automation.
