About The Position

As an IT Asset Management Specialist, you will oversee the end-to-end management of software licenses and technology hardware, including planning, tracking, and ensuring alignment with vendor agreements and organizational standards. You will also enhance asset tracking processes within the ITSM tool and maintain strong governance and quality controls across the asset lifecycle. Your goal will be to optimize technology spend, ensure compliance with licensing and contractual obligations, and continuously improve asset management practices and procedures across the organization. Your success will be measured by accurate asset tracking, reduced risk and cost through effective license and hardware management, improved audit readiness, and the ongoing maturity and efficiency of asset lifecycle processes.

Requirements

  • Experienced in working with vendors, suppliers, and cross-functional teams to navigate competing priorities and drive outcomes
  • Deep understanding of ITIL framework and ITSM best practices, with a focus on asset lifecycle management
  • Strong judgment and problem-solving capability, including the ability to distill complex inputs into clear, actionable insights
  • Effective at managing team dynamics, resolving challenges, and guiding solutions from concept through implementation
  • Forward-thinking approach with the ability to anticipate impacts, align stakeholders, and keep initiatives moving ahead
  • 5+ years of ITSM and process management experience, with relevant post-secondary education (or equivalent)
  • ITIL Foundations certified, with ServiceNow experience, considered an asset
  • Strong expertise in contract, licensing, and data privacy practices, including hands-on experience with Microsoft license management tools

Responsibilities

  • Develop and evolve asset lifecycle methodologies, policies, and practices, driving continuous improvement and alignment with industry standards
  • Oversee asset acquisition, management, and disposal processes to ensure compliance with regulatory, contractual, environmental, and corporate policies
  • Establish and maintain quality assurance practices for software license management, including contracts, maintenance, and entitlements
  • Monitor and report on software asset lifecycle costs and risks, ensuring accurate tracking, metrics, and mitigation activities
  • Partner with Supply Management on vendor engagements, including contract negotiations, Non-Disclosure, and third-party agreements
  • Support and coordinate responses to software audits and license validation activities, working with vendors and internal stakeholders
  • Maintain CMDB and SAM data integrity through regular audits, resolving or escalating discrepancies as needed
  • Manage the SAM database across the full lifecycle (procurement through retirement), ensuring accurate and up-to-date records
  • Identify unused or underutilized software (“shelfware”) and recommend optimization actions to reduce costs and improve utilization
