About The Position

This is a part-time role (25-30 hours per week, with 25 hours guaranteed) for a House Manager & Family Assistant with Meal Prep in Santa Monica, CA. The position involves supporting a dynamic family with two school-age children. The role requires strong communication, consistency, and follow-through to maintain a warm, calm, and well-cared-for home environment. The ideal candidate will be proactive, dependable, warm, and comfortable balancing structure with flexibility. Responsibilities include household organization, meal preparation, family logistics, and supporting children's routines. The role also involves managing household systems, coordinating with vendors, and ensuring the home runs smoothly. The family values a candidate who takes pride in their work, brings care and intention to responsibilities, and has strong executive-functioning skills to support children in developing their own habits. The daily schedule is divided between household support in the first part of the day and child-focused responsibilities in the afternoon, including school pickups, homework support, and meal preparation. The role requires confidence, independence, good judgment, and proactive communication. The family is looking for someone to become a trusted partner and create greater ease and consistency throughout the home.

Requirements

  • Maintain a smoke-free environment.
  • Must be authorized to work in the United States.
  • Own reliable transportation; mileage reimbursed for errands
  • Comfortable around water and pools; able to confidently supervise children near a pool
  • Must be up to date on AAP- and CDC-recommended vaccinations, including current COVID-19 and seasonal flu vaccines. Proof required; legal accommodations apply.
  • Strong executive-functioning skills
  • Ability to guide children through homework, instrument practice, activity preparation, and everyday responsibilities with warmth, confidence, consistency, and clear structure.
  • Firm but caring style when redirection is needed.
  • Proactive communication, anticipate needs, flag concerns early, and move priorities forward without constant direction.
  • Ability to identify what needs attention, arrange and oversee service appointments, and help make the most of the systems already in place.
  • Flexibility and calm to manage multiple priorities.
  • Ability to blend naturally into the family.
  • A background check is required.

  • CPR and First Aid certification preferred; family will cover cost of certification if not yet obtained

Responsibilities

  • Afternoon school pickups and activity drop-offs
  • Light supervision and backup childcare, including playdate oversight including the ability to confidently monitor children around the pool
  • Support children with homework, instrument practice, and daily routines
  • Prep backpacks, clothing, lunches or snacks for school
  • Kid-related errands
  • Date night childcare coverage, built into Thursday evening schedule
  • Dinner prep and cooking as needed; batch cooking also welcome
  • Accommodate one vegetarian household member; a preference for poultry and fish
  • Physical grocery shopping for gaps and urgent items; grocery ordering to be managed independently once established
  • Kitchen cleanup and maintenance after meal prep
  • Daily resets throughout the home; prep spaces before housekeeper visits
  • Light tidying including dishes, load/unload dishwasher, wipe surfaces and vacuuming high-traffic as needed (e.g., sand at entry from beach proximity)
  • Perform routine checks and minor upkeep throughout the home, including air filters, smoke detectors, light bulbs etc
  • Seasonal outdoor preparation including covering exterior items ahead of rain, and managing wind and leaf cleanup
  • Holiday and seasonal decor swaps; event and guest prep
  • Laundry support in collaboration with housekeeper (processing loads on non-housekeeper days)
  • Specific focus on managing sports uniforms through the wash and ensuring they are washed and put away in time for the next sporting event
  • Maintain a tidy and well-stocked laundry area
  • Restock pantry, fridge, and general household supplies; manage running supply lists
  • Manage household subscriptions (Amazon, Costco, Target)
  • Run errands, including grocery shopping, returns, and other household needs
  • Mail and package handling and sorting
  • Breaking down of boxes
  • Periodic deep cleans of fridge, oven, and appliances
  • Refresh of high-traffic areas including mudroom, garage, and entryway
  • Organizational overhauls for toys, sports gear, and storage areas as needed
  • Cleaning of humidifiers and air purifiers
  • Fueling, cleaning, and organizing the family vehicle
  • Oversee contractors and landscapers
  • Research/coordinate repairs and quotes
  • Seasonal property maintenance (prep for rain/wind)
  • Manage outdoor spaces
  • Calendar management for household and family schedules
  • Receipt tracking for household or family purchases
  • Vendor research and coordination for repairs
  • Event and appointment research (birthday party planning, scheduling around school and holiday calendars)
  • Travel planning support as needed
