About The Position

The Fleet Coordinator helps keep our vehicles available, compliant, and running reliably by turning preventive and predictive maintenance insight into completed work. The focus is on getting the right maintenance done at the right time, working closely with operations, maintenance, and our analytics team. The coordinator builds the PM packages for each truck, consolidates work so trucks come in once instead of repeatedly, and makes sure the field executes the plan. The goal is simple: fewer breakdowns, less downtime, and a more reliable fleet.

Requirements

  • 3 to 5 years in fleet maintenance, preventive maintenance program management, or a heavy-duty maintenance environment.
  • Experience coordinating maintenance work across multiple vehicles and vendors.
  • Working understanding of dispatch, routing, and hours-of-service (HOS) constraints, enough to schedule trucks out of service without disrupting operations. ELD administration is not required.
  • Experience with fleet maintenance and telematics software (for example Samsara or Motive).
  • Familiarity with total-cost-of-ownership thinking and maintenance economics.

Nice To Haves

  • Preferred College diploma or certification in a logistics, supply chain, or technical field.
  • Exposure to fuel delivery, or specialized vocational fleets.

Responsibilities

  • Own PM compliance for the assigned fleet, making sure scheduled preventive maintenance actually happens on time, not just that it is planned.
  • Determine when each truck goes in for service, balancing maintenance need against operational availability.
  • Define the work scope at the time of service, grouping related work into a single visit to cut repeat shop trips and reduce downtime.
  • Operate differentiated PM programs across truck types, servicing each on the correct trigger (engine hours or miles) as defined by the analytics team, and flag when real-world results suggest an interval should be revisited.
  • Track engine-hour and PTO-based maintenance intervals, recognizing that pump runtime, not just mileage, drives wear on this fleet.
  • Take the predictive and risk flags produced by the analytics team and convert them into scheduled, completed repairs before failure.
  • Prioritize work using the economic logic provided by the analytics team: act when planned work is cheaper than the failure it avoids, and avoid over-maintaining where it is not justified.
