About The Position

The Executive Assistant to the COO assists with the everyday demands of the Chief Operating Officer, which may include involvement in finance and accounting, legal, commercial insurance, training and development, compliance, information technology, and human resources. The Executive Assistant to the COO carries the COO’s work forward and keeps it progressing, meeting demands as they arise.

Requirements

  • Assists with the everyday demands of the Chief Operating Officer, which may include involvement in finance and accounting, legal, commercial insurance, training and development, compliance, information technology, and human resources.
  • Carries the COO’s work forward and keeps it progressing, meeting demands as they arise.
  • Owns the calendar, triages the inbox, protects focus time, and makes sure the COO walks into every meeting prepared.
  • Completes tasks the COO would otherwise handle personally across various functional areas – drafting, coordinating, chasing vendors, tracking deadlines, assembling reports.
  • Chases down decisions, unblocks people who are stalled waiting on feedback, and pushes tasks across the finish line so the Company does not grind to a halt behind the COO.
  • Maintains one running view of what the COO owes others and what others owe the COO.
  • Follows up with the COO on their own commitments and on behalf of the COO, keeps the CEO’s action items visible with well-timed, diplomatic reminders.
  • Carries the COO and CEO’s feedback forward to others, working towards making those decisions.
  • Interacts with individuals from sister companies across various time zones, cultures, and entity lines.
  • Acts as the in-office anchor to keep the office running smoothly.
