About The Position

OpenFX is hiring an Executive Assistant to the COO to own the COO’s operating rhythm, priorities, calendar, information flow, and follow-through across teams in India, the US, and Europe. The role reports directly to the COO and works with the leadership team, functional owners, vendors, and external stakeholders to keep priority operational and strategic work moving. OpenFX has grown to roughly 200 people across nine cities in under three years, and its operating cadence is still being established. The role will create and run processes for leadership and operational cadences, tracking OKRs and commitments, and assembling performance and board reporting. It offers substantial autonomy and requires someone who can operate without close oversight. The position also covers cross-functional execution, operational visibility and decision support, vendor and systems management, global travel, and support for hiring, onboarding, and contractor coordination. The role is associated with Miami and London in-office locations.

  • Ability to independently coordinate cross-functional initiatives, establish ownership, and drive follow-through across stakeholders.
  • Strong analytical literacy, including the ability to interpret operational and financial data and assemble executive-ready dashboards, performance reports, and board materials.
  • Exceptional organisation and attention to detail, with a track record of accountability.
  • Outstanding written and verbal communication in English, including the ability to produce communications under an executive’s name.
  • High discretion and mature judgement when handling sensitive operational, financial, and people information in a regulated fintech.
  • Ability to operate in ambiguity and improve processes and systems as the company scales.

Responsibilities

  • Manage the COO’s calendar and priorities across India, US, and EU time zones.

  • Coordinate strategic and operational initiatives, track company-wide OKRs and action items, establish ownership and follow-through, and act as a liaison and escalation point across leadership, internal teams, and external stakeholders.
  • Coordinate cross-functional initiatives across the operations team, define clear start and end points, follow up with owners, track progress, surface blockers, and drive actions through to closure.
  • Manage vendor relationships, operational tools and systems, and the COO’s global travel.
  • Support hiring, onboarding, and contractor coordination as needed.
  • Establish operating processes for leadership and operational cadences, OKR and commitment tracking, performance reporting, and board reporting.
