Requirements

  • High school diploma or GED equivalent.
  • Excellent customer service skills.
  • Demonstrated ability to utilize supplies, tools, and equipment properly after initial training.
  • Must be capable of maintaining regular attendance.
  • Proficiency in clear and effective English communication, both verbal and written.
  • Strong ability to comprehend and execute instructions accurately in various formats.
  • Competent in use of computers, particularly Microsoft Outlook, PointClickCare, WorxHub, or ability to become proficient quickly with training.
  • Able to handle highly confidential information.
  • Professional telephone skills and ability to handle referral calls effectively and efficiently.

Nice To Haves

  • Able to speak/understand Spanish is preferred but not required.

Responsibilities

  • Supports the maintenance management program.
  • Takes calls from staff and residents and enters work requests into the WorxHub system, assigning appropriate priority levels.
  • Provides training to staff and residents on the use of the WorxHub program.
  • Assigns emergency/urgent/time-sensitive tasks to Environmental Services (EVS) and Maintenance Technicians.
  • Schedules vendors and contractors for onsite work, including pest control and landscaping.
  • Provides maintenance/construction/service interruption notifications to residents and staff.
  • Orders maintenance, office, and cleaning supplies as needed/requested.
  • Supports the Director of Facilities during various inspections (e.g., CDPH, CDSS, HUD).
  • Communicates policies and procedures to new residents and families, collaborating to ensure a successful move-in.
  • Provides support to the Director of Facilities with fire/life safety documentation, general ledger coding, and payroll/timecard management.
  • Assists with providing/managing EVS daily tasks.
  • Manages complaints and resolves problems within the scope of the position/department.
  • Delivers effective telephone and electronic/email communications internally and externally.
  • Assists with the creation, distribution, and management of set up sheets for EVS staff and events, including room set ups and take downs.
  • Completes general office duties such as scanning, copying, invoicing, preparing documents, and filing.
  • Works on special projects as assigned.
  • Performs other duties as assigned.
