About The Position

The Business Systems Trainer functions as the primary point of contact for business systems training across Epic Care, with a focus on EPIC EMR applications. The role involves developing and facilitating comprehensive training programs, optimizing workflows in collaboration with clinical and administrative staff, and acting as a key liaison between the organization and external partners such as JMH. The Trainer ensures the effectiveness of all system-related training initiatives and supports system implementation, testing, upgrades, and continuous improvement efforts. The individual in this role will rely on conceptual knowledge, problem solving skills, and acute attention to detail to perform assignments and improve efficiencies within existing applications. They are also expected to train and share that knowledge of the EPIC EMR with others by participating in meetings, running classroom trainings for incoming staff, and creating Standard Operating Procedures (SOPs).

Requirements

  • High school graduate or equivalent required.
  • Requires the completion of a credentialing training program at John Muir Health in order to perform EPIC EMR classroom training required.
  • Minimum 2 years of EPIC end-user training, clinical education, or healthcare application support experience required.
  • Minimum 2 years facilitating instructor-led classroom and one-on-one training for adult learners with varying levels of computer proficiency required.
  • Experience creating, maintaining, and following standardized training materials, workflows, and documentation required.
  • Experience onboarding new employees, preferably in a healthcare environment required.
  • Exceptional attention to detail with a demonstrated ability to produce accurate work with minimal errors required.
  • Demonstrated reliability, professionalism, and consistent attendance required.
  • Strong organizational and time management skills with the ability to consistently meet deadlines required.
  • Strong customer service skills with the ability to teach technical concepts to learners with varying levels of computer proficiency required.
  • Ability to work independently while keeping leadership informed of issues or delays required.

Nice To Haves

  • EPIC Credentialed Trainer (CT) or EPIC certification preferred.
  • Experience supporting multiple clinical specialties preferred.
  • Experience creating SOPs, training guides, tip sheets, and workflow documentation preferred.
  • Experience auditing user access, onboarding documentation, or credential requests preferred.

Responsibilities

  • Solve, escalate or educate all Epic Care employees on EPIC EMR and business systems issues, leveraging ticketing systems and vendor collaboration.
  • Must participate in and pass the JMH EPIC credentialing training program for front desk MA and provider. This involves taking multiple classes at JMH and performing a teachback.
  • Develop and conduct classroom training including front desk and MA workflows, EPIC EMR access, and general computer literacy (Computer Orientation).
  • Procter classroom trainings under the supervision of the Lead EPIC Trainer or Supervisor of the EPIC Training department on Mondays and Tuesdays for all incoming staff utilizing the EPIC EMR. This classroom training will cover both front desk and MA rights as defined by JMH and applies to a variety of Epic Care job classes. The training will also include essential Epic Care employee knowledge, such as logging into the computer, using encrypted logins, outlook email and the Group-share. Training facilitation will also be dedicated to setting up USON credentials and 2fa.
  • Learn new training modules as necessary.
  • Work tickets for EPIC EMR related topics through the PathForward provided ticketing system.
  • Assist management at Epic Care in understanding the EPIC system well enough to use it to the best of its abilities and perform the audits and analysis necessary to continue to run efficiently.
  • Act as a liaison between Epic Care staff and the JMH helpdesk.
  • Participate in quarterly system upgrades through analysis, testing and development of training curriculum. Distribute tip sheets along with leading remote trainings for staff pre-upgrade to prepare them for the changes.
  • Act as on-site elbow support for Practices joining Epic Care. This includes physician and staff support. Collect any on-site issues and report them up through the EMR Project manager to ensure they are escalated with JMH if no immediate solution is reached.
  • Develop workflows and SOPs as needed for the EPIC EMR including updating materials to reflect the latest EMR application version.
