The ideal candidate will be comfortable using digital tools to enhance efficiency and deliver a seamless delegate experience.

Requirements

  • 3+ years of experience in delegate management, travel coordination, participant management, or a similar role.
  • Previous experience working within the pharmaceutical and/or healthcare events industry.
  • Strong hands-on experience with Cvent, including event builds, registration management, and reporting.
  • Excellent knowledge of Microsoft Office, particularly Excel and data management tools.
  • Ability to work independently, manage multiple priorities simultaneously, and maintain exceptional attention to detail.
  • Strong customer service mindset with excellent communication and problem-solving skills.
  • Fluent in spoken and written English and Spanish.

Nice To Haves

  • Strong experience using Cvent.
  • Experience managing small meetings independently.
  • Knowledge of pharmaceutical compliance requirements and healthcare regulations.

Responsibilities

  • Manage the full delegate journey, including registration, communications, travel booking, and attendee support.
  • Build and maintain event databases in Cvent, ensuring participant information is accurate and up-to-date.
  • Create and manage delegate communications, including invitations, reminders, follow-ups, and final confirmations.
  • Coordinate travel arrangements and propose suitable itineraries while ensuring compliance with client requirements and healthcare regulations.
  • Provide regular progress updates to internal teams and client stakeholders.
  • Support event delivery on-site when required.
  • Maintain accurate attendance and reporting data after the event.
