About The Position

The Behavioral Health Operations Manager reports directly to the Associate Director of Health Care Operations, with secondary reporting to the BH Leadership. This role is responsible for overseeing daily operational functions across Behavioral Health Therapy, Psychiatry, and Substance Use Programs. The Operations Manager ensures efficient workflow, high-quality patient experience, and compliance with regulatory and organizational standards.

Requirements

  • Strong supervisory and team leadership skills required
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to manage multiple priorities in a fast-paced healthcare environment
  • Knowledge of healthcare operations, scheduling systems, insurance verification, and regulatory requirements across DOH, OMH, Article 28, and OASAS programs
  • Ability to make data entries into programs database such as ECW, AIRS, e-Share, EiCare
  • Knowledge of E-Clinical works EMR and data collection
  • Skilled with health insurance navigation and documentation.
  • Good verbal, written, communication and interpersonal skills.
  • Use of computer software --Microsoft Office Suite including Word and Outlook calendaring, and Excel.

Responsibilities

  • Supervise and support Operations Assistants, including scheduling oversight and referral volume management
  • Coordinate program operations across Behavioral Health Therapy, Psychiatry, and Substance Use services
  • Lead and manage outreach efforts to support patient engagement and program growth
  • Conduct pre-visit chart audits for new patients, ensuring all required documentation and consents are complete
  • Verify insurance eligibility for remote visits; perform outreach to patients with missing or inactive insurance coverage, and works with site intake specialist to address insurance barriers
  • Collaborate with site leadership on supply ordering and inventory needs
  • Provide general operational support across clinic sites as needed
  • Serve as the primary liaison representing behavioral health programs
  • Monitor and improve workflows to enhance efficiency and patient care delivery
  • Supporting the Health Center Director with the ordering of program supplies and other tasks as needed
