About The Position

Abingdon Square Veterinary Clinic is looking for an exceptional Client Service Representative to join our busy, five-doctor veterinary hospital in New York City. The Client Service Representative is much more than just a receptionist. Our CSRs provide the first impression of the hospital to clients and patients. They must be warm, friendly, professional, helpful, knowledgeable, and capable of handling many tasks at once with many interruptions. This role requires an individual with knowledge of the veterinary world, critical thinking, and schedule maintenance. Individuals with friendly and outgoing demeanors are necessary.

Requirements

  • Veterinary reception or veterinary client service experience is preferred.
  • Experience in healthcare, hospitality, or another high-volume customer service environment is also valued.
  • Strong computer skills and the ability to learn new software quickly.
  • Excellent interpersonal and customer service skills, with a friendly and professional demeanor.
  • Ability to multitask and handle a fast-paced environment with attention to detail.
  • Organizational skills to manage appointments, records, and administrative tasks.
  • Empathy and patience when dealing with clients who may be anxious or stressed about their pets' well-being.
  • Knowledge of the veterinary world, critical thinking, and schedule maintenance.

Responsibilities

  • Create an exceptional experience for every client from the moment they call or walk through our doors.
  • Greet clients warmly and professionally while building lasting relationships.
  • Answer a high-volume phone system, respond to client inquiries, and provide information about hospital services.
  • Schedule appointments, surgeries, and procedures for a busy five-doctor practice.
  • Efficiently check in patients, verify information, update medical records, and obtain necessary paperwork.
  • Process payments, prepare invoices and receipts, and coordinate a smooth check-out experience.
  • Schedule follow-up appointments and provide post-visit instructions.
  • Multitask between appointments, phone calls, emails, payments, medical records, and administrative duties.
  • Maintain accurate electronic medical records and client information.
  • Complete filing, scanning, faxing, and other general office tasks.
  • Educate clients on wellness care, preventive medicine, medications, and hospital services.
  • Answer questions, address concerns, and proactively anticipate client needs to provide outstanding service.
  • Work closely with veterinarians, technicians, and support staff to ensure efficient patient flow.
  • Assist with coordinating appointments, procedures, and special requests.
  • Serve as a positive ambassador for our hospital by delivering compassionate, professional client service every day.
