About The Position

Southern 441 Toyota, a fast-growing, customer-focused dealership, is seeking a detail-oriented and results-driven Warranty Administrator to join our Service Department. This is a critical revenue-protection and recovery role responsible for maximizing warranty reimbursement, ensuring accurate and timely claim submissions, and minimizing financial losses for the dealership. You will play a key role in protecting service department profitability while maintaining full compliance with Toyota warranty policies and procedures. This position is not purely clerical. Success is defined by your ability to recover maximum revenue through efficient processing, thorough documentation, and proactive follow-up on all warranty-related matters. Requirements

  • 3+ years of warranty administration experience in a high-volume automotive dealership (Toyota experience strongly preferred)
  • Strong understanding of warranty policies, claim procedures, and labor rate guidelines
  • Excellent attention to detail and organizational skills
  • Proficient in dealership management systems (DMS) and warranty portals
  • Results-driven mindset with a focus on revenue recovery and accuracy
  • Ability to work independently with high urgency and accountability
  • Strong communication and problem-solving skills
  • Valid driver’s license and clean driving record

Responsibilities

  • Process and submit warranty claims accurately and efficiently to maximize reimbursement
  • Review repair orders for proper warranty documentation, coding, and labor times
  • Follow up on claim denials, appeals, and payment issues to recover revenue
  • Ensure full compliance with Toyota warranty policies, procedures, and guidelines
  • Work closely with technicians, Service Advisors, and the Shop Foreman to obtain required documentation and technical support
  • Track warranty receivables, aging claims, and outstanding payments
  • Maintain detailed records and submit regular performance reports on warranty recovery
  • Identify trends in claim denials and work with the service team to reduce future issues
  • Assist with warranty audits and maintain audit-ready records at all times
  • Track and document all activity and results for performance reporting and compensation eligibility
