About The Position

The Accounts Payable Specialist will play a vital role in managing and processing accounts payable transactions efficiently and accurately. This role involves receiving, organizing, and processing invoices, ensuring that payment terms and discount opportunities are adhered to, and maintaining vendor records.

Requirements

  • Experience with accounts payable, invoicing, and invoice processing.
  • Proficiency in three-way matching and data entry.
  • Knowledge of purchase orders and Microsoft Excel.
  • Experience with ERP or QuickBooks, specifically Builders Trends ERP.
  • 2-3+ years of AP experience.
  • Experience processing 50-100+ invoices per week.

  • Self-starter with strong attention to detail.
  • Experience in the construction industry is beneficial but not required.
  • Ability to communicate effectively with team members on invoice-related issues.
  • Willingness to assist colleagues after completing personal tasks.

Responsibilities

  • Receive, organize, and vouch invoices promptly.
  • Process payments according to terms, ensuring discount opportunities are taken.
  • Accurately enter invoices into the correct general ledger accounts and periods.
  • Obtain appropriate documentation to ensure three-way matching and necessary approvals for invoice processing.
  • Monitor and respond timely to shared email boxes.
  • Perform vendor setup and maintain vendor files.
  • Resolve receiving discrepancies, pricing issues, and vendor credits.
  • Reconcile vendor statements and research and resolve payment issues.
  • Manage the Buildertrend payment process.
  • Assist with administrative duties as assigned.
  • Assist in pre-construction activities by preparing permit applications and ARB submittals.
