About The Position

Maintain an efficient counseling office and assist counselors as needed. This role requires proficiency in keyboarding, file maintenance, and organizational skills. The secretary will assist counselors, students, staff, and parents, manage student records, handle correspondence, and maintain confidentiality. The position also involves contributing to accident and injury prevention and adhering to safety rules.

Requirements

  • High School Diploma or GED
  • Proficiency in keyboarding and file maintenance
  • Effective organizational, communication, and interpersonal skills
  • Ability to use software to develop spreadsheets, databases, and do word processing
  • One (1) year of clerical/secretarial experience or other equivalent experience or background
  • Must maintain emotional control and exercise reasoning and problem solving skills while under stress
  • Work with frequent interruptions
  • Move files and access archives in remote locations
  • Must demonstrate ability to communicate effectively (verbal and written)
  • Should be able to interpret procedures and analyze data for decision-making
  • Occasional prolonged use of computer

  • Bilingual English/Spanish preferred

Responsibilities

  • Assist counselors, students, staff, and parents as needed
  • Collect necessary documentation and assist parents/guardians in the enrollment of new students
  • Transfer and request student cumulative records as students enter/withdraw within and outside the district
  • Maintain all permanent files and transcripts on students, both current and former
  • Receive incoming calls and take reliable messages
  • Assist counselors in preparation for standardized testing and distribution of test results
  • Prepare correspondence, forms, and reports as required
  • Maintain college information and occupational information files for students’ use
  • Maintain confidentiality of information and loyalty to the district
  • Remain informed of and comply with state, district and local policies/regulations concerning primary job functions
  • Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidences immediately to supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
