Requirements

  • Prior administrative experience in an office environment demonstrating strong organizational skills and attention to detail.
  • Personal assistant or executive administrative support experience preferred, showcasing proficiency in calendar management and correspondence handling.
  • Familiarity with office management tools including Microsoft Office Suite (Word, Excel), Google Workspace applications, and DocuSign for electronic signatures.
  • Proven ability to perform clerical tasks such as proofreading, transcription, data entry, and filing accurately and efficiently.
  • Excellent customer service skills with the ability to communicate professionally via phone and in person while maintaining proper phone etiquette on multi-line systems.
  • Experience with bookkeeping software like QuickBooks is highly desirable for managing financial records effectively.
  • Demonstrated ability to juggle multiple priorities in a fast-paced environment while maintaining high-quality work standards.

Responsibilities

  • Manage calendar appointments and coordinate meetings using Microsoft Outlook Calendar and Google Workspace tools.
  • Provide executive administrative support by preparing documents, proofreading correspondence, and handling transcription tasks with precision.
  • Assist with event planning activities, including logistics, vendor communication, and onsite setup to ensure successful gatherings.
  • Perform data entry and bookkeeping duties utilizing QuickBooks to maintain accurate financial records.
  • Handle front desk responsibilities such as greeting visitors, answering multi-line phone systems with professional phone etiquette, and managing incoming inquiries.
  • Organize files and maintain filing systems—both digital and physical—to ensure quick retrieval of information.
  • Support project coordination efforts by tracking deadlines, preparing reports, and collaborating across teams to meet objectives efficiently.
