Workplace Manager

Sapiom•San Francisco, CA
•Onsite

About The Position

Sapiom is building payment infrastructure for AI agents, connecting agents to funding sources and payment methods and providing intent verification, spending controls, and transaction records. The company is a small, fast-growing team in San Francisco, with deep payments and infrastructure experience and $50 million raised in its first 12 months. The Workplace Manager owns Sapiom’s office and day-to-day workplace experience, including company gatherings, team rituals, offsites, and new-hire and visitor experiences. This hands-on role will run the current office and develop the processes and space plans needed as the team grows. The manager partners closely with the Head of Strategy & Operations, who owns operating cadence, budgets, and people decisions, and is responsible for on-the-ground execution. The role also identifies repetitive work and automates it with AI and modern tools. It is based in the San Francisco office five days a week, with potential for increased scope as the company grows.

Requirements

  • 3–6 years of experience in workplace experience, office management, facilities, events, or hospitality, ideally at a fast-growing startup.
  • Experience running an office day to day and managing its vendors, building, and budget.
  • Experience planning and executing company events end to end, from small team dinners to multi-day offsites.
  • Strong organization and attention to detail.
  • Warm, polished, low-ego approach and willingness to take ownership beyond a narrow job description.
  • Self-direction and comfort building processes from scratch in an early-stage environment.
  • Comfort with AI and automation tools and motivation to use them to replace manual work.
  • Sound judgment and discretion.

Nice To Haves

  • Experience leading an office search, build-out, or move.

Responsibilities

  • Manage the office and workplace end to end, including landlord and building relationships, facilities and repairs, seating, security and access cards, and basic health and safety.
  • Maintain schedules for food, coffee, snacks, supplies, and deliveries; manage cleaning, catering, maintenance, and AV vendors to defined standards and budgets.
  • Plan for headcount growth through seating plans, meeting-room capacity planning, and support for a future office search, build-out, design, and move.
  • Own the logistics and production of all-hands, lead syncs, and planning days, including rooms, AV, food, run-of-show, and recording.
  • Plan and deliver team events, recognition moments, swag, and offsites within schedule and budget, and support external events held in the office.
  • Administer Google Workspace, Slack, and other core systems for employees joining the company.
  • Prepare new hires for their first day, including desk, equipment, swag, and a warm welcome, coordinating with onboarding and IT owners.
  • Welcome visitors, candidates, customers, and investors, and coordinate candidate onsite logistics from room preparation through greeting and departure.
  • Gather workplace feedback and automate repetitive tasks using AI and modern tooling.
