Summary: The Workplace Experience Associate supports daily office operations, delivers exceptional customer service, and ensures a clean, safe, and efficient workplace. This role assists with mail and package handling, facilities support, conference room setups, inventory management, and end‑user service requests while maintaining strong communication and professionalism.

Requirements

  • 2+ years of experience in an office or workplace services environment.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong customer service, verbal communication, and phone skills.
  • Professional demeanor, appearance, and attitude.
  • Ability to remain calm, resilient, and solutions‑focused under pressure.
  • Strong judgment, problem-solving ability, and discretion with confidential information.
  • Flexible, adaptable, and comfortable in a fast-changing environment.
  • Assertive, resourceful, and proactive with strong initiative.
  • Ability to lift up to 50 lbs.

Responsibilities

  • Serve as the primary contact for client service needs, questions, and issue resolution.
  • Learn all aspects of mail operations and provide coverage during absences.
  • Receive, process, and deliver all incoming and outgoing mail and packages using client postage and courier systems.
  • Create shipping labels and assist users with shipment preparation.
  • Maintain a clean, safe, and organized workspace, including pantries, conference rooms, and common areas.
  • Perform daily facilities walkthroughs and address issues promptly.
  • Manage work orders through building systems and coordinate with building staff.
  • Support employee moves and furniture relocation as needed.
  • Set up and break down conference rooms, including chairs and AV equipment.
  • Maintain pantry cleanliness and ensure supplies are stocked.
  • Manage office supply inventory and convenience copier/kiosk areas.
  • Maintain bathroom cleanliness and replenish supplies throughout the day.
  • Respond to all end‑user requests and equipment service needs.
  • Provide data for monthly management reporting.
  • Ensure all required site training is completed and documented.
  • Support cleaning efforts with internal staff and building vendors.
  • Assist with various facilities tasks and other duties as assigned.
