About The Position

Responsible for the prompt and accurate submission of manufacturer and after-market warranty claims and the resulting collection of all warranty revenues. This role requires a thorough understanding and adherence to all manufacturer and after-market warranty company policies and procedures. The Warranty Administrator will establish and maintain productive relationships with warranty representatives from manufacturers and after-market warranty companies. Key responsibilities include reviewing warranty repair orders for accuracy, determining and entering appropriate codes, flagging technicians for earned hours, and monitoring the use of special warranty programs. The position also involves reporting any abuses or fraudulent manipulation of warranty claims to management, submitting claims, ensuring deductibles are collected, and managing returned/rejected claims for resubmission. Maintaining records of all claims and physical inventory for returns/inspections is crucial. The role requires providing weekly reports to the service manager and striving to achieve a minimum warranty claims acceptance rate of 95% with no more than 14 days of warranty receivables.

Responsibilities

  • Submit manufacturer and after-market warranty claims promptly and accurately.
  • Collect all warranty revenues.
  • Understand and follow all manufacturer and after-market warranty company policies and procedures.
  • Establish and maintain productive relationships with manufacturer and after-market warranty representatives.
  • Review warranty repair orders for proper completion, accuracy, and legibility.
  • Return improperly completed repair orders for correction.
  • Determine and enter applicable labor operation codes, failure codes, and other administrative data.
  • Flag technicians for earned hours on operations performed.
  • Check repair orders against vehicle service history to avoid duplicate claims.
  • Monitor the use of special warranty programs.
  • Report any abuses or fraudulent manipulation of warranty claims to management.
  • Submit warranty claims using available administrative tools.
  • Ensure all deductibles are properly documented and collected.
  • Review and prepare returned/rejected warranty claims for resubmission.
  • Contact warranty claims representatives for claims requiring special authorization.
  • Maintain a record of all claims submitted, returned/rejected, or paid, and their current status.
  • Establish and maintain a record and control of the physical inventory of parts to be returned, inspected, or scrapped.
  • Provide a weekly report to the service manager regarding claims status.
  • Strive to maintain a minimum warranty claims acceptance rate of 95% and no more than 14 days of warranty receivables.
  • Arrive and depart work at the hours designated by service management.
  • Report any condition or situation that jeopardizes the safety, welfare, or integrity of the dealership, its employees, or customers to management.
  • Maintain a high level of personal grooming, hygiene, and dress consistent with the duties of the position.
  • Perform other duties as assigned.
