About The Position

OTO Development is seeking a highly organized Vendor Manager/IT Project Coordinator for an in-office role in Spartanburg, SC. This position requires strong communication skills with both technical and non-technical individuals, and sufficient technical aptitude to effectively manage vendor relationships and projects. The role involves serving as the primary point of contact for IT vendors and contractors, managing project timelines and budgets, and ensuring successful delivery of vendor-driven projects. The ideal candidate will translate between internal technical staff and external vendors to ensure clear communication and prevent issues from being overlooked.

Requirements

  • 3+ years of experience in vendor management, project coordination, IT operations, or a related role (less experience considered if aptitude is clearly strong).
  • Excellent organizational skills, with the ability to juggle multiple vendors and projects without dropping details.
  • Strong written and verbal communication skills, including the ability to run meetings, write clear status updates, and diplomatically push back on vendors.
  • Working knowledge of IT concepts and terminology (e.g., networks, software implementations, support tickets, basic infrastructure) sufficient to follow technical conversations and ask informed questions.
  • Comfortable reading and managing contracts, SOWs, and budgets.
  • A bias towards follow-through, tracking open items, setting reminders, and closing loops without constant prompting.
  • Experience with project management tools and basic familiarity with ticketing systems.

Responsibilities

  • Own day-to-day relationships with IT vendors and contractors, including contracts, SOWs, renewals, and performance against agreed deliverables.
  • Manage vendor-led projects end to end, including schedules, milestones, budgets, and status reporting to internal stakeholders and leadership.
  • Translate between technical staff and vendors to ensure requirements, blockers, and risks are clearly understood by both sides.
  • Track project budgets and invoices against contracts, flagging scope creep, delays, or cost overruns early.
  • Run regular check-ins and status meetings with vendors, documenting meeting notes, action items, and decisions.
  • Maintain a clear record of active vendors, contracts, renewal dates, and project status.
  • Coordinate onboarding/offboarding of vendor resources, including access requests and security/compliance requirements.
  • Escalate issues appropriately and help resolve conflicts between vendor commitments and internal priorities.
  • Support RFP/vendor selection processes by gathering requirements, comparing proposals, and summarizing trade-offs for decision-makers.
