About The Position

GAI is hiring an experienced AEC proposal professional to lead transportation and infrastructure pursuits from kickoff through shortlist interview. This is a hybrid role, based out of our Indiana, Kentucky, Ohio or West Virginia offices. The specialist will drive pursuits end-to-end, including strategy, schedule, narrative, compliance, and the final deliverable for state DOTs, counties, and municipalities. The role involves working closely with engineers and business leaders, transforming technical information into persuasive stories, and managing complex pursuits. This position is ideal for someone who has managed proposals and desires greater control over the winning process, with opportunities to influence go/no-go decisions, improve content, and build reusable materials. GAI, established in 1958, is experiencing growth in its Transportation & Infrastructure practice, and this role is crucial for expanding pursuit capacity.

Requirements

5+ years in proposal coordination, proposal management, or AEC marketing.
Proven track record managing proposals to hard deadlines with multiple contributors.
Strong writing, editing, and proofreading skills.
Proficiency in Adobe InDesign and Creative Suite.
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Associate or bachelor's degree in marketing, communications, business, or a related field.
Valid driver's license and reliable transportation for local travel.

Nice To Haves

AEC industry experience (engineering, architecture, construction, or infrastructure consulting).
Experience with public-sector pursuits (DOT, county, or municipal clients).
Experience with Deltek Vantagepoint or a comparable CRM.
Experience coaching technical staff through shortlist presentations.
Proposal writing and layout samples are strongly encouraged (portfolio link on resume or attached PDF samples).

Responsibilities

Manage the full pursuit lifecycle, from kickoff through submission and shortlist interview.
Lead mid-sized pursuits independently and support major and multi-firm efforts alongside senior marketing staff.
Ensure RFP compliance by building and managing a compliance matrix, confirming all requirements are met.
Write and edit various proposal components, including narratives, executive summaries, project descriptions, and staff resumes.
Develop materials, coordinate rehearsals, and manage logistics for shortlist interviews.
Maintain accurate project, client, and pursuit data in Deltek Vantagepoint and improve data capture and reuse.
Create marketing collateral such as service briefs, project profiles, award submissions, and speaking proposals.
Improve processes by developing content libraries, templates, and boilerplate materials to enhance quality and reduce turnaround time.
