About The Position

This role manages and executes administrative tasks for a manufacturing facility, with a primary focus on finance and accounting. The position involves direct supervision of two administrative employees who handle financial and Human Resources activities. The responsibilities are broad and include managing accounts payable, updating BOMs, coordinating inventory counts, investigating discrepancies, processing inventory adjustments, answering audit questions, and tracking freight. The role also contributes to plant payroll processing and assists with month-end cost closing, including creating monthly accruals, journal entries, and processing write-offs. The administrator will also cross-train for various office functions as needed. Typical working hours are 8:00 am to 4:30 pm, with potential for overtime to meet time-sensitive goals.

Requirements

  • Associates degree or minimum 3 years of experience in a similar role is preferred.
  • Strong attention to detail and sense of urgency when meeting deadlines.
  • Well-developed organizational skills with the ability to prioritize, plan, and execute multiple tasks.
  • Advanced interpersonal skills and ability to build rapport within a diverse workforce environment.
  • Fostering high levels of trust with employees is crucial to the role.
  • Versatile and readily adaptable to new, different, or changing circumstances.
  • Proficient in Microsoft Office software.
  • Aptitude to learn new computer applications as required.

Nice To Haves

  • Having a certification in Business or Finance Administration is an asset but not required.
  • Experience with Oracle and ADP is a plus.

Responsibilities

  • Manages and executes the administrative tasks for a manufacturing facility with a focus on finance and accounting.
  • Directly supervises two (2) administrative employees performing financial and Human Resources activities.
  • Manages Accounts Payable and resolves invoice exceptions.
  • Updates and maintains BOM’s.
  • Prepares, coordinates, and participates in inventory counts.
  • Investigates discrepancies and processes entries for Inventory adjustments.
  • Answers audit questions as they arise.
  • Handles freight tracking.
  • Contributes to the processing of plant payroll.
  • Assists with the month-end cost closing process.
  • Creates monthly plant accruals, month-end journal entries, and processes write-offs where applicable.
  • Assists and cross-trains for various office functions/tasks as needed.
