About The Position

Coordinates service dispatching, inventory, billing, payroll and productivity to ensure a high level of customer satisfaction and an efficient, profitable department. This role involves courteously receiving incoming service-related calls from customers, inputting information into the computer system, and scheduling service. The dispatcher will also schedule technicians for routine tune-ups and maintenance, communicate with field technicians via radio or cellular telephone, and utilize the computer system to generate invoices for service work. Additionally, the role includes reconciling billable and non-billable time, coordinating the service contract program, assisting in controlling parts inventory, and coordinating the Gas Check program.

Responsibilities

  • Courteously receive incoming service-related calls from customers, input information into the computer system, and schedule service.
  • Schedule technicians for routine tune-ups and maintenance work as time allows, consulting the service manager for major repairs or installations.
  • Use radio or cellular telephone to communicate with field technicians regarding job assignments or job progress updates.
  • Utilize computer system to input parts and labor information needed to generate an invoice for service work performed.
  • Reconcile billable and non-billable time for service technicians.
  • Coordinate the service contract program by setting up new contracts, renewing and terminating contracts, and scheduling annual contract maintenance work.
  • Assist in controlling parts inventory by accurately recording parts used and assisting technicians with van/pickup restocking.
  • Coordinate Gas Check program by contacting customers, explaining the program, and scheduling technicians, and inputting gas check information into the computer system.
  • Plan and schedule technician's time for routine cleanings and maintenance.
  • Handle customer complaints and service-related issues, referring unresolved issues to the service manager.
