About The Position

This role supports marketing functions across all offices, focusing on market sector and business unit marketing strategies for new and existing clients. The specialist will deliver high-quality, compelling proposal documents that effectively communicate win themes and differentiators while meeting RFP/Q requirements. The position owns the proposal process from initiation to submission, coordinating with pursuit teams to ensure on-time delivery. Key responsibilities include analyzing RFPs, crafting narratives, ensuring brand consistency, and supporting marketing events. The role also involves client research, interview strategy collaboration, and participation in professional organizations. A mindset of continuous learning and fostering a positive industry reputation are essential.

Requirements

  • Bachelor’s degree in Marketing, Communications, Journalism or English preferred
  • 7+ years of experience in AEC marketing
  • Intermediate knowledge of creative and design software, Adobe Suite preferred
  • Intermediate knowledge of standard marketing and business development software, Hootsuite and WordPress preferred
  • Intermediate knowledge of Microsoft Suite (PowerPoint required)
  • Intermediate technical writing, proofreading, editing and graphic design
  • Verifiable work references
  • Successful completion of post-offer background & drug screens
  • All positions at GH Phipps are considered safety sensitive. Position may be required to visit a construction site at any time.

Responsibilities

  • Supports marketing functions across all offices, including market sector and business unit marketing strategies for new and existing clients
  • Delivers high quality and compelling proposal documents that use clear, concise storytelling to communicate win themes and differentiators, while meeting RFP/Q requirements
  • Owns the proposal process from pursuit initiation through submission, coordinating with all pursuit team members and partners to ensure on-time delivery
  • Analyzes the RFP/Q to identify requirements, communicates requirements to the team, identifies new narratives to be created, and works with pursuit teams to craft those narratives
  • Evaluates all proposal narrative and elements for relevance, rewriting as necessary to effectively communicate story. Proofs, edits, and rewords content to eliminate errors and ensure consistent tone/voice.
  • Uses graphics to enhance key messages and communicate strategy.
  • Conducts client background research to identify questions, concerns, and potential risks and advises strategic visioning and proposal planning stage.
  • Collaborates with pursuit team and internal partners on overall proposal strategy. Executes proposal strategy in submittal in a way that meets submittal requirements.
  • Proactively tracks assignments to pursuit teams, communicates those assignments, and follows-up with assignee to ensure deadlines are met.
  • Collaborates with the pursuit team on interview strategy. Prepares interview materials and coaches interview participants.
  • Participates in outside professional organizations that support the proposal coordinator position.
  • Supports corporate awards programs
  • Ensure brand standards are met and consistent across all marketing and proposal materials
  • Coordinates, supports and attends marketing-related events, trade shows, and client engagements. Coordinates relevant materials, including promo items, ensuring brand standards are met.
  • Crafts compelling project narratives that tell the story of the project, focusing on unique elements, outcomes, and the overall “why.” Able to reframe and rewrite existing project narratives to focus on key elements that support the broader story of a submittal.
  • Demonstrates a mindset of continuous learning and improvement.
  • Fosters a positive reputation in the industry by building relationships and identifies project opportunities aligned with strategic plans, and goals.
  • Other duties as assigned (may include social media, external publications, etc.)
