About The Position

The Senior/Lead Administrative Coordinator plays a vital role in delivering high-level administrative and operational support to the APD Front Office. This position is responsible for ensuring the seamless continuity, accuracy, and timeliness of all front office functions. The selected candidate will expertly manage front office workflows, juggle multiple priorities, monitor critical deadlines, and guarantee the prompt delivery of key outputs and responses to management requests. In this role, the coordinator drafts, reviews, and circulates polished correspondence, briefing materials, memoranda, and internal communications in alignment with Fund standards. Maintains calendars and schedule appointments and meetings and provides general office support for APD management and the SHRP. The coordinator maintains and oversees HR tracking systems, records, and databases containing highly sensitive information, upholding the highest standards of data integrity, confidentiality, and compliance with Fund procedures. Serving as a crucial liaison with HRD, the coordinator also acts as the alternate Office Manager. Analyzing and synthesizing data from administrative systems is another core responsibility, providing valuable insights for reporting, decision-making, and compliance monitoring. The coordinator also oversees department-wide administrative processes, playing an active role in enhancing workflows, procedures, and operational efficiency. Guiding staff on administrative policies, this role ensures consistent understanding and application across the department. The coordinator proactively anticipates and resolves competing priorities, exercises sound judgment, and escalates issues as needed to ensure the best possible outcomes. Additionally, the coordinator contributes to Fund-wide administrative committees and working groups, particularly those focused on process improvement and technology innovation. Other duties may be assigned as needed.

Requirements

  • Completion of a high school diploma or equivalent.
  • A minimum of eight (8) years of relevant experience.
  • Proven ability to work with minimum supervision and exercise independent initiative.
  • Ability to handle sensitive and highly confidential matters with good judgment, diplomacy, and discretion.
  • Strong organizational and administrative skills.
  • Proven ability to work well under stressful conditions, manage short deadlines, handle multiple tasks in a timely manner, and prioritize conflicting demands.
  • Demonstrated ability to perform as part of a team.
  • Proven interpersonal skills to interact effectively with Fund staff and external contacts at all levels.
  • Excellent oral and written communication skills.
  • Proficiency in the Fund standard software applications.
