The Lead Senior Administrative Assistant provides high-level administrative and operational support to senior leaders within the Treasury organization, including the Assistant Treasurer, Chief Investment Officer and the Benefit Investments and Operations leadership team. This role requires exceptional judgment, discretion, organizational skills, and the ability to manage complex priorities in a fast-paced, global environment. The position serves as a key partner in enabling effective leadership, operational efficiency, and compliance with company policies and regulatory requirements.

Requirements

  • High school diploma required; associate’s degree preferred.
  • Minimum 5–8 years of experience in a high-level administrative or executive assistant role, preferably in a fast-paced, complex organization.
  • Demonstrated ability to manage multiple priorities, maintain confidentiality, and exercise independent judgment.
  • Strong organizational skills with exceptional attention to detail.
  • Proven ability to operate effectively with minimal supervision.
  • High level of professionalism, discretion, and judgment when handling sensitive information.
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with virtual meeting platforms (Teams, Zoom).
  • Working knowledge of enterprise systems including Concur, Workday, Ariba/eMarketplace, IRIS, iVisitor, and identity/access management tools.
  • Executive presence and strong interpersonal skills.
  • Excellent written and verbal communication.
  • Ability to anticipate needs and proactively manage issues.
  • Strong collaboration and relationship-building skills.

Responsibilities

  • Provide comprehensive administrative support to the Assistant Treasurer and senior members of the Benefit Investments & Operations teams.
  • Proactively manage complex calendars, meetings, and competing priorities across global time zones.
  • Coordinate preparation for executive, leadership, team, and cross-functional meetings, including agendas, logistics, A/V, space planning, and catering for in-person and virtual meetings.
  • Printing and distribution of committee meeting materials.
  • Independently manage priorities and resolve administrative issues with minimal day-to-day supervision.
  • Coordinate domestic and international travel arrangements.
  • Process, reconcile, and audit expense reports in Concur in compliance with company policy.
  • Partner with teams on purchase orders, invoices, and requests via eMarketplace and Ariba.
  • Support basic budget tracking and related administrative processes as needed.
  • Oversee day-to-day office operations, including supplies, services, purchasing, and vendor coordination.
  • Coordinate with Facilities and IT for space planning, moves, system access, and issue resolution.
  • Utilize CAFM tools for space planning and moves for new hires.
  • Manage One Identity & Access Management processes for shared drive and system access.
  • Support onboarding of new hires and offboarding/terminations through coordination of access, materials, and logistics.
  • Serve as Record Retention Coordinator for the department, ensuring compliance with Records & Information Management (RIM) policies and training requirements.
  • Handle highly sensitive and confidential information with discretion, professionalism, and sound judgment.
  • Foster strong working relationships with executive assistants across Treasury and other business functions.
  • Provide back-up administrative support for other assistants as needed.
  • Plan and execute team-building events and engagement activities.
  • Communicate effectively with all levels of the organization, including senior leadership and external partners.
