Sample Room Coordinator
About The Position
TileBar is seeking a detail-oriented, highly organized Sample Room Coordinator to manage and maintain the sample room in its Dallas showroom. The role catalogs, tracks, and distributes product samples to internal teams, clients, and external stakeholders, while ensuring the room is well-stocked, functional, and aligned with showroom operations. The coordinator supports an efficient sample management process that helps enhance the customer experience and enables the sales team to provide premium service. The position includes receiving and organizing samples, maintaining inventory records and reports, monitoring stock and requesting replenishments, keeping the sample room and presentation areas clean and appealing, and inspecting incoming and outgoing samples for quality. The coordinator follows safety procedures and company guidelines, collaborates with showroom staff and other teams, assists with showroom and sales-related tasks as needed, and represents TileBar with professionalism and a service-focused approach. Weekend availability is required.
Requirements
- High school diploma required.
- Experience in sample coordination, inventory management, or a similar role within a showroom, design, manufacturing, or product-related environment.
- Strong organizational skills and attention to detail and accuracy in inventory tracking and management.
- Proficiency with inventory management systems or software for cataloging and tracking samples.
- Excellent communication and interpersonal skills for working with internal teams, clients, and external stakeholders.
- Ability to multitask, prioritize, and manage time efficiently in a fast-paced environment.
- Familiarity with basic safety procedures and regulations for handling different types of samples.
- Ability to lift up to 50 lbs. for sample movement and showroom maintenance.
- Weekend availability required.

Responsibilities
- Receive, catalog, and organize product samples to ensure they are accessible.
- Maintain an accurate inventory system tracking sample movement, availability, and distribution.
- Monitor sample stock levels, request replenishments, and optimize storage.
- Maintain detailed records of sample activity in tracking systems and databases.
- Generate reports on sample utilization, inventory levels, and discrepancies.
- Keep the sample room clean, organized, and visually appealing.
- Update displays and sample presentation areas to showcase products effectively.
- Inspect incoming and outgoing samples for compliance with TileBar quality standards.
- Communicate quality issues or discrepancies to appropriate teams for resolution.
- Follow safety protocols for handling and storing samples, especially specialized or fragile materials.
- Ensure compliance with company guidelines and industry best practices for sample management.
- Collaborate with showroom staff and internal teams to uphold brand standards and meet client expectations.
- Assist with additional showroom and sales-related tasks as needed.
- Represent TileBar professionally and positively, contributing to its friendly, knowledgeable, service-driven culture.
