About The Position

Join Pilgrim Place, a welcoming senior living community in Claremont, CA, where respect, kindness, and teamwork guide all that we do. We’re looking for an organized, customer-focused Sales Support Specialist to support our occupancy and revenue goals. In this role, you’ll help prospective residents and their families navigate the sales and move-in process while providing exceptional service and supporting our broader marketing efforts.

Requirements

High school diploma or equivalent required
Proficiency with Microsoft Office, CRM software, and DocuSign.
Ability to manage multiple priorities and maintain confidentiality.
Strong customer service, communication, organizational, and time management skills.

Nice To Haves

Associate's or Bachelor's degree in Business, Marketing, Healthcare Administration, or a related field preferred.
Two years of administrative, sales, marketing, healthcare, or senior living experience preferred.

Responsibilities

Respond to prospective residents, families, visitors, and referral partners, and coordinate prospect follow-up and tours.
Prepare tour materials, welcome packets, and other resources to create a welcoming experience.
Support sales activities, including financial pre-qualification, nursing assessments, prospect tracking, and occupancy updates.
Coordinate the move-in process, including resident documentation, admission paperwork, keys, and welcome materials.
Coordinate move-in readiness with Nursing, Housekeeping, Maintenance, IT/Cable, and other departments.
Maintain accurate prospect and resident records, marketing materials, and application packets.
Assist with marketing events, sales meetings, and team activities to support occupancy goals and an exceptional customer experience.
