About The Position

We are seeking a full-time Sales Support Specialist to support the Sales and Marketing team in driving growth across Melink’s suite of solutions. As a small-medium sized business in the emerging energy efficiency and renewable energy space, our goal is to grow sales to help change the world one building at a time. The ideal candidate will provide the foundation necessary to support such growth by working cross- collaboratively with our Business Development, Customer Success, Engineering, and Operations teams.

Requirements

  • Bachelor’s degree (BA) from a four-year college or university; or one to two years related experience and/or equivalent combination of education and experience.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) on Windows 10.
  • Ability to comprehend and interpret mechanical plans and construction documentation (with training).
  • Strong sales/customer service skills (i.e. interpersonal skills, public speaking/presenting abilities, written and verbal communication skills, high emotional intelligence, positive attitude with a bent for service leadership).
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Nice To Haves

  • Preference in Business Administration, Entrepreneurship, Communications, or Engineering/Industrial Technologies.
  • Experience with CRM systems (HubSpot preferred) and ERP systems (SAP a plus).

Responsibilities

  • Serve as the team’s primary HubSpot administrator – input, update, and manage customer and prospect data, build and maintain workflows for automation, and generate reports to support sales visibility and pipeline management.
  • Assist Business Development Managers with identifying and qualifying leads for Melink’s suite of solutions, conducting research and maintaining accurate prospect records in HubSpot.
  • Own the full customer onboarding process, including coordinating Certificates of Insurance (COIs), vendor set-up documentation, SAP Business Partner creation, and establishing payment terms and billing preferences.
  • Enter and manage sales orders in SAP (ERP) for new projects and programs, ensuring accurate and timely order creation and coordinating a smooth handoff to the Project or Program Management team.
  • Collaborate cross-functionally with the Engineering team to develop accurate estimates for Melink’s solutions, supporting the sales process with timely and well-documented proposals.
  • Generate and deliver energy savings reports, ensuring data accuracy and presenting findings in a clear, customer-ready format to support sales conversations and client retention.
  • Extract and analyze customer and sales data to build compelling presentations for customer meetings and internal business reviews, translating data into actionable insights.
  • Prepare and coordinate complete project handoff documentation from sales to the Project or Program Management team, ensuring all relevant information is accurately transferred and all stakeholders are aligned for a smooth transition.
  • Work closely with Business Development, Customer Success, Engineering, A&F, and Operations teams to support the full sales cycle, address customer needs, and ensure seamless service delivery across Melink’s suite of solutions.
  • Provide exceptional customer service both internally and externally, anticipating needs, managing written and verbal correspondence professionally, and maintaining clear communication across all levels of the organization.
  • Process, file, and track rebate claims, verifying eligibility and ensuring timely submission to relevant organizations.
  • Complete additional tasks as requested by supervisor.
