About The Position

This role assists with lead follow-up, quote preparation, client communication, and booking coordination to help convert sales opportunities into confirmed business while delivering exceptional customer service. This role will also assist with trade shows, networking events, client outreach, and promotional activities to support company growth, brand visibility, and client engagement. Working closely with the Client Experience & Outside Sales Support Coordinator, this position supports daily sales activities, maintains accurate records, and helps ensure smooth communication between clients and internal departments. This role will also provide backup support for reservation functions as needed.

Requirements

  • Experience in customer service, sales support, reservations, hospitality, transportation, or administrative support preferred.
  • Strong communication, organization, and multitasking skills.
  • Attention to detail and accuracy in scheduling and data entry.
  • Ability to work in a fast-paced, team-oriented environment.
  • Proficiency with CRM systems, Microsoft Office, and reservation software preferred.
  • Professional, dependable, and customer-focused mindset.

Responsibilities

  • Assist with lead follow-up, quote requests, and client communication.
  • Prepare and support pricing quotes and transportation proposals.
  • Support booking coordination, reservation updates, confirmations, and trip detail accuracy.
  • Provide backup assistance for reservation and scheduling functions as needed.
  • Coordinate communication between clients, sales, operations, dispatch, and drivers.
  • Maintain accurate CRM records, booking information, and sales activity.
  • Support invoicing follow-up, payment reminders, and administrative tasks.
  • Provide professional and responsive customer service throughout the booking process.
