About The Position

Join a dynamic and fast-paced senior living marketing and sales team as a Marketing & Sales Administrative Assistant! In this role, you will serve as a key administrative partner supporting day-to-day operations through the creation of reports and presentations, coordination of meetings and events, management of expense reporting, and assistance with onboarding new team members. The idea candidate is highly organized, proactive and tech savvy, with strong proficiency in Microsoft Office Suite, Salesforce CRM, and other internal systems. This position plays an essential role in keeping the team connected, efficient, and positioned for success while contributing to a mission-driven organization dedicated to enhancing the lives of seniors.

Requirements

  • Advanced experience and proficiency in Power Point, Excel and Word
  • CRM experience strongly preferred
  • Ability to craft corporate-ready communications
  • Excellent communication skills, oral and written; excellent interpersonal skills
  • Experience with general administrative duties
  • Top-notch customer service and hospitality focus
  • Impeccable attention to detail and organizational skills; ability to balance multiple priorities and meet deadlines
  • Must be a self-starter who regularly takes initiative on projects and tasks
  • Willingness to receive and use direction, feedback or constructive criticism from multiple sources inside and out of the marketing department
  • Uses discretion in working with sensitive and/or confidential information

Nice To Haves

  • Experience with marketing, sales and communications beneficial
  • Experience leveraging AI to create more efficient processes strongly preferred
  • Some experience with graphic or visual design preferred

Responsibilities

  • Assists with the preparation of expenses reports for team members
  • Reconciles and audits the various marketing department budgets and processes invoices
  • Manages email distribution lists and senior living community assignments
  • Serves as division administrator for the SharePoint site and contract management
  • Assists with the onboarding of new corporate marketing team members and the disengagement of departing team members
  • Schedules and manages team and division meetings, including coordinating with internal and external participants, distributing meeting materials, and handling meeting logistics
  • Leads conference coordination for Business Development team, including conference registration, travel coordination, gathering presentation materials and meeting scheduling
  • Provides assigned tasks as a part of the corporate office administrative team, including printer and meeting room monitoring, telephone roll-over and backup receptionist duties for corporate office receptionists
  • Serves as a technology expert, including Salesforce CRM, Microsoft Office, Canva, and other systems
  • Provides assistance with the development, proofreading, editing and formatting of Power Point presentations, reports, templates and other documents
  • Provides support to sales training and education initiatives, including assembling training materials, managing training logistics and other support, as needed
  • Provides administrative support to the bi-annual LCS Sales Conference
  • Supports event planning and execution for company-wide events as needed
  • Leverages AI to streamline processes for the marketing team where applicable
  • Completes marketing projects assigned for Corporate Marketing, Community Marketing, Market Research, and Data Analytics teams
