About The Position

The Records Clerk at Garcia MS is responsible for managing and maintaining student records. This includes greeting visitors, answering phones, preparing outgoing mail, and handling all aspects of student record creation, verification, updating, and maintenance. The role requires accuracy in data processing, filing, and ensuring compliance with district policies and record management procedures. The Records Clerk also assists with official requests, transfers files, and maintains the confidentiality and security of student information.

Requirements

  • High School Diploma or General Equivalency Diploma (GED) in English
  • Six (6) months related experience
  • Ability to operate a personal computer and standard office equipment
  • Competent clerical skills
  • Excellent telephone and communications skills

Responsibilities

  • Greets all visitors in a friendly manner and assists them with their needs.
  • Answers telephone, takes accurate and reliable messages, and routes them to the appropriate staff.
  • Prepares outgoing mail, addresses envelopes or packages pertaining to records.
  • Retrieves records as needed to be sent to other campuses.
  • Creates, verifies, requests, updates, and maintains all records on each student (academic achievement, grades, proof of address, etc.).
  • Recognizes and corrects errors in original data prior to processing or returns them to the originator for correction.
  • Maintains an accurate accountability of all cumulative records, files, policies, and procedures.
  • Checks records/folders to verify documentation and placement.
  • Organizes and prepares records to forward to campuses/departments in a timely manner.
  • Posts test results in a timely manner.
  • Follows prescribed procedures in interpreting data and is efficient in processing records.
  • Files correspondence.
  • Verifies authenticity of documents, verifies new students’ records from previous schools, and requests official records and transfers grades.
  • Gathers information on students who are withdrawing/transferring from the home campus.
  • Handles record requests to/from other schools for transferring students.
  • Files all Personal Record Cards and other student records.
  • Assists in filling official requests such as public information requests according to the Public Information Act.
  • Complies with all record management procedures, transfers files to warehouse at the end of each fiscal year.
  • Searches for information contained in files; inserts additional data in file records; keeps files current; removes files upon request/authorization.
  • Retrieves records as needed; extracts files and/or information as authorized, keeps records of material.
  • Adheres to District policies and guidelines.
  • Strives continually to promote the safety, health, and comfort of students and employees in the performance of duties.
  • Follows established safety procedures and techniques to perform job duties.
  • Maintains confidentiality and a high level of ethical behavior.
  • Maintains professional growth by attending in-services and meetings, as requested/required.
  • Performs any other duties as assigned by the Supervisor/Principal/Director.
